Operation Manager
Overview:
ITV America is seeking an Operations Manager responsible for the day-to-day operational functions of the office. The ideal candidate is adaptable to shifting priorities, customer service-oriented, and demonstrates strong organizational, problem-solving, and communication skills.
The role is based in North Hollywood, CA, and reports to the Vice President of Operations. This is a role that requires you to be on-site 5 days a week.
Key Responsibilities:
• Oversee day-to-day operations of the office, fostering a positive, welcoming, and service-oriented environment for all staff and visitors.
• Collaborate with the VP of Operations to execute daily tasks and ensure departmental coverage.
• Proactively identify opportunities to improve the office experience and employee satisfaction.
• Act as a primary liaison between Operations and other departments, ensuring their logistical and facility needs are met with a high level of customer service.
• Train on and manage applicable software for employee onboarding, request tickets, security, lighting, HVAC, etc.
• Assist with expense tracking, invoice processing, and budget monitoring for office supplies and maintenance.
• Create, maintain, and update operational documentation, including instructional guides as needed.
• Manage office amenities and vendor relationships to ensure kitchens, supply rooms, and common areas are fully stocked and maintained to a high standard. Manage storage facilities: log, organize, store, retrieve, and transport items between the office as needed.
• Coordinate and assist with office moves and reconfigurations, including organizing furniture and equipment to support workspace needs.
• Utilize Google Suite and other internal tools to develop and maintain tracking systems.
• Provide additional operational support and handle special projects or tasks as assigned.
• Directly manage the receptionist position.
Basic Qualifications:
• Demonstrated experience functioning efficiently in an environment with shifting priorities and deadlines
• Strong verbal and written communication skills.
• The ability to communicate effectively with all levels of employees, management, vendors, and customers/clients
• Demonstrated ability to work independently and efficiently with minimal supervision.
• Ability to multitask; excellent follow-through; extremely organized and efficient time management skills.
• Professionalism, punctuality, and reliability.
• Strong interpersonal and teamwork skills, including adaptability, and the ability to establish quick rapport
• Proficiency with Google Suite.
• Ability to learn and use new software.
• Minimum of 5 - 7 years of experience in Operations, with 2 - 3 years of office management experience.
• Must be able to lift or move up to 50lbs and utilize basic tools to assist with office organization and moves. Must have a valid driver's license and be comfortable driving large vehicles/cargo vans if needed.
