We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to one of our producers. This role requires exceptional communication skills, excellent time management, and the ability to handle multiple tasks efficiently in a fast-paced production environment. The successful candidate will be a key member of the production team, facilitating seamless operations and contributing to the success of various television projects.
Responsibilities:
Calendar Management: Maintain and manage the producer's calendar, including scheduling meetings, appointments, and calls. Coordinate with internal and external stakeholders to ensure efficient use of time and prioritize commitments.
Travel Arrangements: Arrange travel logistics, including flights, accommodations, and ground transportation for the producer and associated personnel. Ensure travel plans align with production schedules and budget constraints.
Communication Liaison: Serve as the primary point of contact for incoming communications, including emails, phone calls, and inquiries. Screen and prioritize messages, responding on behalf of the producer when appropriate.
Project Coordination: Assist in the coordination and execution of various television projects from pre-production to post-production stages. Facilitate communication between different departments, talent, and external partners to ensure project milestones are met.
Administrative Support: Provide administrative support such as drafting correspondence, preparing presentations, and maintaining accurate records. Handle expense reports, purchase orders, and other financial documentation as needed.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times. Uphold the highest standards of professionalism and integrity in dealing with confidential matters.
Qualifications:
Previous experience as an executive assistant, preferably in the entertainment industry.
Proficiency in calendar management, travel coordination, and office software (Google Suite).
Excellent verbal and written communication skills, with a keen eye for detail.
Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively.
Adaptability and resourcefulness in navigating changing priorities and tight deadlines.
A proactive and self-motivated attitude, with a commitment to delivering high-quality work.
Familiarity with television production processes and industry dynamics is a plus.
Discretion and professionalism when handling confidential information and sensitive situations.
Ability to work overtime.
