Interloper Films is seeking a Production Coordinator / Executive Assistant to support film projects from development through distribution as well as the director of the company.
This role is central to the day-to-day operations of the company and works closely with the director and core team across active productions, post-production, impact campaigns, and festival runs. The ideal candidate is highly organized, calm under pressure, and comfortable juggling creative, logistical, and administrative responsibilities in a fast-moving documentary environment.
Responsibilities
Coordinate shoots including schedules, call sheets, crew logistics. Maintains records of credit cards, pays them, and organizes receipts.
Track production budgets, process invoices, manage expense reports, and maintain financial records. Organize delivery materials. Book travel and accommodations for festivals, screenings, and national impact campaigns. Help plan and execute screenings, Q&As, and community events. Serve as a key point of contact for partners, donors, fiscal sponsors, and community organizations. Support communications including newsletters, press materials, and internal updates (Experience with Canva, Squarespace, Premiere greatly appreciated) Handle general production operations and problem-solving as needed
Qualifications
Prior experience as a Production Coordinator or in a comparable production role
Strong organizational, communication (especially writing), and time-management skills
Ability to manage multiple projects simultaneously with attention to detail, no job too big or too small
Comfort working in Google Workspace; experience with Frame.io and QuickBooks is a plus
Self-directed, dependable, and comfortable working within a small team
Interest in documentary filmmaking and impact-driven storytelling
