EVENTS PLANNER - JOB DESCRIPTION
Summary:
The Events Planner/Programmer will be responsible for effectively planning and executing the IAB event portfolio. The Programmer will ensure that all events have cohesive themes and compelling sessions/speakers. In addition, the Programmer will be responsible for strategically coordinating the programming process among all internal stakeholders (sales, marketing, operations) and ensure that the final agenda meets the needs of sponsors, speakers, and attendees. The Programmer will work closely with IAB Events for execution, the Editorial team for content creation, the sales team to promote/sell sponsorships, and Marketing to promote/amplify the events, in support of IAB commercial, editorial, and brand goals.
They will be working on efforts to strategize, curate, coordinate, and execute events for Interactive Advertising Bureau (IAB) in the US. Trade industry experience a plus.
Job responsibilities (include but not limited to):
Programming
o Partner with IAB Editorial/leadership for input on event strawman/ themes/sessions/speakers, and then translate those ideas into event content
o Collaborate with both editorial and sponsor speakers to ensure session content achieves intended goals
o Manage speaker procurement process, identifying high-quality speakers for all program segments, working with events on speaker logistics
o Oversee speaker prep, including the creation and dissemination of speaker kits and session briefs; manage prep calls with all speakers Partner with Editorial to create compelling copy for agenda; session titles and descriptions, write host + emcee scripts, and develop questions for fireside chats/interviews as needed
Production
o Partner with events + technical & platform vendors on production of overall event; lead production for content related elements
o Skilled at executing both in person and virtual sessions
o Serve as main point of contact for technical producers regarding program and speaker technology needs, lead planning calls with AV tech team
o Create and manage a Run of Show process + documents; assist with development of a timeline that will ensure smooth execution of event production
o Oversee filming of content; work with speakers + tech vendors for testing & rehearsals
o Consult on producing creative networking & experiences for attendees
Sponsorship Support
o Assist with development of creative inventory for sponsorship packages which meet commercial needs while maintaining editorial integrity
o Join pre-sales calls with potential sponsors to help sell-through content related inventory
o Manage post-sale sponsor fulfilment for any content related deliverables, partnering with sponsors to ensure sponsored content provides editorial value
General Project Support
o Act as an extension of IAB's Event's team, ensuring an organized flow of information between departments.
o Join a weekly meeting with events team regarding project status, as well as bi-weekly cross-department meetings to ensure all key stakeholders are informed and engaged
o Provide regular written status updates to all key stakeholders
o Attend post-mortem meetings to recap and evaluate the event
o Provide an organized, easily referenced post-event package with all planning documents, speaker materials, presentations and templates required for archival purposes and to support planning for future events
Requirements and Qualifications:
o Significant knowledge of the digital marketing industry, key companies, and individual players within it
o Bachelor's Degree and 8-10 years conference programming experience, preferably in the digital advertising and marketing industry OR the equivalent in digital marketing, advertising or journalism fields
o Superb verbal and written communication abilities are a must, as are excellent research/analytical skills. Please submit a writing sample and/or a sample conference agenda including session titles and descriptions.
o Candidate must be extremely organized/detail-oriented and have the ability to excel in a fast-paced, deadline-oriented environment.
o Candidate must be able to work both independently and as a team player.
o Candidate must be comfortable working with senior industry executives, both internally and externally.
o Knowledge of event industry practices-e.g. ability to create run of show documents, act as liaison among presenters, the Events team, and A/V production companies.
