Administrative Assistant / Receptionist
InSync PLUS has been a leader in film and television marketing for over 30 years and works with all the major motion picture studios, streamers, and television networks. We are looking for a talented, self-driven Administrative Assistant to join our team!
Primary Responsibilities include providing administrative support to the team, managing incoming calls, and managing internal social media accounts.
This is currently a remote position with the potential to become on-site / hybrid in the future.
RESPONSIBILITIES
Administrative:
• Create Zoom links for internal and client meetings
• Send email reminders for the following meetings
• Coordinate and track client gifts upon request
• Maintain client contact documents and digital v-cards
• Manage yearly holiday client card & gift lists
o Work with executives to update their client lists
o Order and send all gifts
o Log all purchases and receipts for accounting
o Finalize and send donation card list to vendor
• Liaise with the IT/Operations team
o Provide back-up support to IT/Operations on office maintenance items
• Communicate with property management
• Email updates
• Coordinate with building janitorial staff
• Maintain employee head count doc
• Attend weekly Sales Meeting & provide notes
• Attend Production Meetings and provide notes
• Administer New Hire & Freelance time sheet training
• Email introductions for all new hires & freelancers
• Assist CEO as needed
Reception:
• Manage incoming calls & e-mails
• Coordinate LA Messenger pick-up and drop-offs upon request
• Update internal company contact documents
Social:
• Attend and assist in social meeting
• Send updates and post approvals to the team via email
• Keep social calendar updated w/ dates, assets, and copy
• Reach out to assistants/producers for assets if not on website or Vimeo
• Post/Schedule content to Linkedin/Facebook/Twitter via Hootsuite
• Post/Schedule content to Instagram via IG app
KNOWLEDGE / SKILLS
• Tactful and effective communicator with all levels
• Self motivated, proactive, takes initiative, positive attitude
• Computer Skills: Word, Excel, PowerPoint, web-based applications, Hootsuite, Adobe Creative Suite a plus
• Strong organizational skills
• Excellent verbal and written communication skills
• Background / interest in entertainment advertising, administration, project management, design, social media, etc. a plus
• BA or BS in a related field a plus
