Initial Group Global is seeking a detail-oriented and dedicated Assistant looking for a long-term career in entertainment business operations. The ideal candidate will bring substantial expertise in supporting executives, managing administrative functions, and coordinating schedules within the film and entertainment industry.
This role will support the Chief Executive Officer senior executive staff and work closely with the finance and corp. dev teams with a variety of business and administrative needs. To excel in this role, the ideal candidate will thrive in a fast-paced environment, bring exceptional organizational skills, and be passionate about the industry.
Responsibilities
Administrative Support
Heavy calendar management and scheduling, preparing meeting materials, research briefs and bios, and communications across internal & external channels
Process executive expenses in alignment with company policies
Comprehensive and proactive contact list tracking for future meetings and potential partnership opportunities
Arrange travel accommodation, preparing itineraries and transfer services with precision and foresight of potential conflicts, changes, and preferences
Be proactive about travel planning, scheduling business meetings and stay up to date on key business goals in support of executives
Perform various personal tasks as needed
Site Operations
Coordinate maintenance and repairs with building management, tracking vendors insurance and compliance with lease agreement
Onboard new employees, setting up technology, security access, and office space
Maintain smooth and operating office, ordering supplies, restocking kitchen, and securing office for start / end of day
Strategy & Industry Reporting
Conduct industry research on market trends, strategic partnership opportunities, relevant M&A activity, and entertainment / tech / A.I. news
Create ad hoc briefs, memos, slides, and various business material needs
Update grids, presentations, and shared folders
Manage company social media channels and subscription accounts
Requirements
2+ years' experience at a talent agency or other media company
Expertise with Microsoft Office, Box, SharePoint, Zoom, Adobe (brand deck experience with an emphasis on design is a plus)
Degree in business, finance, economics, or film
Preferred
Experience with industry-specific technology and platforms (e.g., IMDBPro, Luminate, BamSec, SNL Kagan, CapIQ)
Understanding of the current US/International entertainment landscape, including studios, buyers, production companies, and private equity investors
Interest and knowledge in adjacent talent representation spaces including creators, sports, comedy, music, esports, etc.

Proficient problem-solving abilities
Extremely proactive, able to operate independently with minimal instruction
