Full-time position to administratively support three managers in our Los Angeles office. Monday - Friday.
Administrative duties include heavy phones, rolling calls and emailing, with a high volume of scheduling, coordinating, and managing of logistics for meetings and zooms, manage and transfer calls, manage phone sheets, schedule and coordinate conference calls including multi-party, multi-time zone, video, and conference calls.
Coordinating and managing the logistics and the written correspondence for client auditions, meetings and schedules across multiple time zones, writing and producing project cover letters for clients about the project and meeting/audition and coordinating with casting offices, publicists, productions and agencies.
Submitting casting submissions and distributing client materials upon request, uploading and submitting taped auditions, some basic tape editing, updating the TV and Film Grid with appts and other relevant project information, updating client resumes, coordinating client travel arrangements and the start form paper work on bookings, may including researching travel options, preparing itineraries, etc.
Tracking commissions, preparing booking sheets and deal memos, preparing expense reports and invoices.
Special projects such as client tracking reports, grid reports, assisting with demo reels and minor personal assistance as needed. Provide additional team support to the company and assist with special company projects as needed.
Using Outlook, Microsoft Office Suite, InEntertainment, Google Docs, Breakdown Services, Sides Express, Dropbox, Hightail etc
Ideal candidate will be personable, calm, organized with a strong attention to detail. Must have an strong positive work ethic with excellent communication skills - both written and verbal, Ability to work under pressure in a fast-paced environment and have effective time management skills with ability to meet deadlines and adjust to changing priorities
A minimum of one year commitment and previous agency/management/entertainment experience preferred.
