HR Advisor (12 month FTC)
Job Summary:
We are looking for a HR Advisor to join our ILM team. This is a 12 month fixed term contract based in London. The HR Advisor is a generalist role with overall responsibility for the administration tasks conducted by the HR Coordinators and is relied on as the subject matter expert across Benefits, Immigration and Visas, International Assignees, Employee Forum and New hire orientation.
Responsibilities:
Generalist HR Support
• Oversees all administration tasks undertaken by HR Coordinators including all correspondence, updating systems and file management
• Acts as the first point of contact for the Coordinators for support and advice on HR process and policy
• Steps in and provides administrative cover as required during holidays/ absence
• Oversees monthly payroll process ensuring tracker is completed with all relevant employee changes for that month ensuring all data is correct
• Acts as first point of contact to resolve employee queries, escalating ER or more complex queries for HR BP or Manager
• Provides general administrative support to the HR Business Partner & Manager undertaking ad-hoc projects as needed
• Manages and fields queries coming into the ILM LON HR inbox
• Proactively keeps up to date on employment law changes, flagging necessary changes as required
• Actively engages with global and Disney HR partners to develop strong and trusting relationships
• Supports HR BP in tracking London headcount
• Proactively develops understanding of employee relations knowledge by supporting HR BP and/or Manager in employee relations issues as required
• Manages and improves new hire orientation and the leaver process
HR Reporting
• Oversees the compilation of insightful management reports on a regular basis for HR Business Partnering meetings, e.g. contract expiry, sickness absence, holiday, diversity data, as well as compiling more complex reports and analysing data as required by HR Manager and business for specific needs and to provide management information
Employee Transfers, International Assignees and New Hires
• Acts as the first point of contact for all transfer and international assignee following offer including organising visa, engaging global mobility as required, organising accommodation etc.
• Advises business on process and proactively keeps HR team, managers and global HR partners abreast of timelines accordingly
• Support international new hires and transfers in terms of relocation and general advice and support, e.g. bank accounts, HMRC advice, registering with a doctor etc., when they arrive at the studio
Immigration & Visa Advice
• Manages Visa application process – Acts as a trusted advisor for all visa queries and ensures the ILM processes and procedures comply with stringent home office rules and regulations recommending changes as necessary
• Manages relationship with ILM immigration partner (Newland Chase)
Maternity/ Paternity/ Shared Parental Leave
• Advise employees on ILM's maternity/ paternity/ shared parental leave process and procedures, answering any queries from the business and track all information including reports
Employee Forum
• Manages Employee Forum - process scheduling and facilitating meetings, following up with employee reps as well as management team to keep momentum of process and timely response on actions
Benefits
• Manages ILM benefits including Pension, Life Assurance and Reward Gateway. Advising employees on schemes, processing joiners and leavers as appropriate and tracking members as required
• Oversees HR Coordinator responsible for Childcare vouchers, Cyclescheme and Season Ticket Loans
• In particular, manage the pension scheme on a monthly basis liasing with Finance and Pension providers and ensuring accuracy of contributions
HR Projects
• Project manages HR projects as required acting as subject matter expert, e.g. Gender Pay Gap reporting, liaising with global and Disney HR partners, Wellbeing and Diversity and Inclusion.
• Actively engages HR team and management keeping them abreast of progress and status
Preferred Qualifications:
• Working toward CIPD qualification or equivalent experience
• Previous HR experience in a fast moving and busy environment
• Experience in a dynamic workplace efficiently moving project based employees through the employee lifecycle
• Previous experience of working within a fast-paced, creative industry delivering high levels of service
