Executive Assistant (President)
The Imagine executive team is seeking an Executive Assistant to support the President. We are looking for someone who thrives in a fast-paced environment, is extremely organized, detail-oriented and can remain calm under pressure. This role will be primarily responsible for providing administrative based support, working closely with the Executive and the various Imagine divisions.
The ideal candidate will be a strong team player, able to devise systems and keep a busy executive on track. Additionally, they must have prior assistant experience at an executive level and be an enthusiastic, calm, self-starter with a love for detail and follow-through.
Responsibilities include, but not limited to:
-Coordinate and manage scheduling for President, including setting up calls, meeting, zooms, etc.
-Send out daily reminders, as needed.
-Coordinate travel arrangements for local, domestic and/or international travel.
• Prepare, reconcile, and submit expense reports.
-Field incoming and outgoing calls while maintaining updated phone sheets and contact lists.
-Support on-site meetings and events, including room reservations and catering as needed.
-Print materials for meetings and any other items, as needed.
-Liaise internally and externally with employees and executives at all levels in a timely, professional manner.
-Serve as a point of contact for high level clients and business associates.
-Maintain highly sensitive and confidential information.
• Anticipate needs of the President and/or its divisions, be proactive and follow-through
Qualifications:
-Minimum 2-4 years' executive assistant experience.
-Prior experience supporting a high-level executive in the Entertainment production industry.
-Ability to anticipate needs, be resourceful and adapt to continually changing priorities & deadlines.
• Possess a ''can-do'' attitude for all situations, no task too big or too small to handle.
• Excellent organizational skills, attention to detail and the ability to handle multiple tasks in a fast paced and time sensitive environment.
• Track record of meeting deadlines and taking initiative to seek out information when faced with unclear or ambiguous situations.
-Strong and proven ability to remain discreet and appropriately handle highly sensitive and confidential information.
• Excellent written and verbal interpersonal skills, strong work ethic and sense of professionalism.
-Demonstrates the ability to remain calm and poised under pressure, applies common sense, and knows when to delegate and escalate as appropriate.
-Technically proficient across various platforms and systems including Google Suite, Microsoft Office, and video conferencing platform.
