Job Summary:
The Imagine executive team is seeking an Executive Assistant to support our COO, Finance department and other C-Suite Executives as needed. We are looking for someone who thrives in a fast-paced environment, is extremely organized, detail-oriented and can remain calm under pressure. This job requires a meticulous assistant who loves multi-tasking and is a strong communicator with excellent people skills.
Responsibilities include, but not limited to:
- Manage scheduling for COO, SVP of Finance and other Corporate Executives as needed.
- Coordinate travel arrangements for local, domestic and/or international travel.
- Prepare, reconcile, and submit expense reports.
- Assist with scheduling departmental meetings, including the preparation and distribution of meeting agendas and materials.
- Support on-site meetings and events, including room reservations and catering as needed.
- Liaise internally and externally with employees and executives at all levels in a timely, professional manner.
- Support the signing, distribution and filing of agreements, contracts, and other department documents.
- Serve as a point of contact for high level clients and business associates.
- Keep up to date on individuals and activities related to the company, our subsidiaries, and new ventures.
- Maintain highly sensitive and con?dential information.
- Contribute and provide support to team and office activities.
- Provide other administrative support for the department or Executive team as needed.
Qualifications:
- Minimum 2-4 years' executive assistant experience.
- General familiarity and experience with operations, - nance and legal functions is a plus.
- Ability to anticipate needs, be resourceful and adapt to continually changing priorities & deadlines.
- Possess a ''can-do'' attitude for all situations, no task too big or too small to handle.
- Excellent organizational skills, attention to detail and the ability to handle multiple tasks in a fast paced and time sensitive environment.
- Track record of meeting deadlines and taking initiative to seek out information when faced with unclear or ambiguous situations.
- Strong and proven ability to remain discreet and appropriately handle highly sensitive and con?dential information.
- Excellent written and verbal interpersonal skills, strong work ethic and sense of professionalism.
- Demonstrates the ability to remain calm and poised under pressure, applies common sense, and knows when to delegate and escalate as appropriate.
- Technically proficient across various platforms and systems including Google Suite, Microsoft O?ce, and video conferencing platform.
Location: Beverly Hills, CA (Hybrid)
Job Type: Hourly; Full-Time
Hiring Salary Range: $23.00 - $24.05 per hour ($47,840 - $50,024 annually) + overtime*
Starting pay depends on a variety of job-related factors, including but not limited to experience, training, and education.
*Estimated total annual comp including potential overtime: $56,800 - $65,000 (overtime is never guaranteed and will vary based on business requirements)
