ABOUT HUDSON RIVER PARK TRUST
JOB SUMMARY
The Seasonal Events Manager plays a key role in supporting the events team and ensuring the successful execution of over 500 free outdoor events like musical performances, fitness classes, dance parties and community engagement activities. Some highlights include our SUBMERGE Marine Science Festival, the long-running Blues BBQ Festival, weekly Sunset Salsa evenings and free Healthy on the Hudson fitness classes.
This role requires traveling throughout the Park's four-mile footprint to set up, supervise, execute and break down various events and activations. Candidates should be enthusiastic, proactive, and ready to lead a dedicated team of associates of varying experience levels in creating positive experiences for Park visitors while working outdoors.
This position requires availability for evening and weekend shifts, as well as frequent outdoor work in varying weather conditions. The Seasonal Events Manager will work collaboratively with another events manager and assist with the general needs of the Public Programs Department as assigned.
ESSENTIAL JOB RESPONSIBILITES/FUNCTIONS
• Supervise and support, in collaboration with the Director of Events & Production, a team of eight (8) Events Associates and four (4) Junior Event Associates, providing on-site management and hands-on assistance.
• In collaboration with the Director of Events and Production and Trust leadership, oversee event logistics, including advancement, production, marketing materials, and technical requirements.
• Manage communications with external vendors, performers and partners, such as dancers, musicians, A/V vendors and more.
• Support coordinating with potential permittees, asking questions and drafting permits, as directed.
• Serve as on-site management and technical point person proactively addressing any issues to ensure smooth event execution including troubleshooting of low-tech audio and generator set-ups
• Be point of contact / remote manager for Event Associates acting as on-site event leads for select smaller events and productions.
• Support administrative tasks, such as procurement, invoice processing, vendor research and general departmental operations, as needed.
• Adapt to evolving event needs, shifting tasks and responsibilities as necessary.
• Manage inventory and organization of department equipment and materials.
• Review and enforce site plans, Park rules, and production guidelines.
• Conduct site inspections and provide oversight for permitted events.
• Document event reports promptly after each event and always maintain regular communication with Director of Events and Production.
• Other tasks as assigned to support the Department.

SCHEDULE
This seasonal position supports Hudson River Park Trust during both its peak (June-September) and shoulder (April, May, October and November) seasons. During the peak season, Event Managers will be expected to work between 22 and 37.5 hours. In the shoulder seasons, the schedule is more variable, and the range is 6 to 24 hours per week. Schedules are released two weeks in advance.

EXPERIENCE REQUIREMENTS
• 1-2 years of experience in a leadership role managing seasonal or short-term staff.
• 2-3 years of experience in event production.
• Ability to set up/break down of tents, tables, audio equipment, chairs and more in varying weather conditions.
• Proven ability to work both independently and in a team environment.
• Willingness to work extended hours (10 hours+) for select major events.
• Proficiency with common computer applications, Microsoft, Google, Adobe, etc.
• Must be at least 18 years of age (this position may involve handling alcohol).
• Must have a valid, clean Driver's License.
Additional Experience preferred, not required:
• Demonstrated experience managing associate and younger level employees in a fast-paced production environment.
• Background in event production collaborating with artists and organizing public programs in outdoor settings.
• Familiarity with audio-visual setups and trouble shooting.
WORK ENVIRONMENT & PHYSICAL DEMANDS
• Work is almost fully outdoors, in varying conditions (heat, rain, cold, etc.).
• Candidates will need to be able to move equipment weighing up to 30 pounds; this is a physically demanding job.
• Strong interest and ability to foster a team environment.
