Part Time Job
General Description:
The Receptionist / Switchboard Operator will be responsible for providing exceptional customer service by greeting and assisting all visitors, answering phone calls and assisting customers with event information or directing them to the appropriate department.
RESPONSIBILITIES include but are not limited to:

• Greet clients and visitors with a positive, helpful attitude and provide excellent customer service
• Operate telecommunication console system and in-house phones
• Answering phones and providing information in a professional manner, routing calls and/or taking messages
• Schedule conference rooms for meetings in Microsoft Outlook and maintain a calendar of events
• Process confidential information
• Prepare packages for courier's servicesand reconcile courier invoices
• Prepare and track packaging for shipping and receiving of all out-going and incomingFedEx, UPS and USPS Certified packages using an online tracking system, sorting and distributing mail
• Keep a safe and clean reception area
• Supervise part-time receptionists
• Coordinate weekly/monthly schedules for part-time receptionist
• Train and schedule Interns from various departments on the switchboard for relief coverage
• Order weekly office supplies for the officeand reconcile invoices
• Assistant the Executive Office if needed
• Assist Manager of Administrative Services, Coordinator and other departments with various office duty task
• Maintain an updated phones list and department phone list for the company
MINIMUM QUALIFICATIONS:
• At least 5 years as a receptionist and knowledge of a multi-line telephone system
• Excellent Verbal and Written Communication
• Professionalism

• Supply Management
• Competency in Microsoft Office in Word and Excel
• Bilingual in Spanish (preferably)
• High school diploma or equivalent
PHYSICAL & MENTAL REQUIREMENTS:
• The employee is regularly required to stand, sit, walk, use handle or feel, reach, stoop, kneel, crouch or crawl, communicate with others.
• The vision requirement includes the ability to review written and electronic materials in both digital and physical format.
• The employee must be able to transfer and move items for departmental needs.
• The employee must be able to adjust to changing work hours and locations as needed in light of the strong focus on external communications and relationships.
