Supervisor: Manager, Sales & Sponsorship Activation
Classification: Full-time/Exempt
The Texas Children's Houston Open aims to entertain fans, provide value to partners, engage volunteers, and positively impact the Greater Houston community. As Tournament Coordinator, you'll assist the Sales & Sponsorship Activation Manager in sales of club packages and sponsorships, develop corporate sponsor relationships, and manage CRM systems. Responsibilities also include overseeing ticket orders, fulfillment, special promotions, credentialing, parking, and hospitality entry systems.

Sales/Sponsorship:
• Provide tournament sales support, including club packages, branding, and upgraded ticket packages.
• Develop and maintain relationships with corporate sponsors.
• Assist in managing CRM's and associated sponsor tracking databases.
• Assist in managing cross promotions with Astros (if any).
• Participate in tournament sales calls and meetings, handle follow-up actions, and serve as the point of contact for up-selling and cross-selling initiatives.
• Conduct cold calls and emails to potential sponsors.
• Help manage tournament hospitality and ticket inventory.
• Oversee creative projects such as ticket flyers, course maps, information sheets and other related projects.
Ticketing:
• Manage all ticket orders and the backend of the ticketing platform (Ticketmaster).
• Oversee fulfillment process, including tracking, shipping and research for all sponsors and general patrons.
• Handle ticket distribution and contractual fulfillment.
• Assist in fulfillment of Pro-Am packages.
• Manage ALL Ticket Special Promotions.
• Knowledge of ticket offers, types, and pricing; upsell tickets to patrons.
• Ability to upsell specific tickets when patrons call or email in to make a purchase.
• Manage all Tournament Patron Gates with operations team assistance.
Credentialing:
• Manage Tournament Credential Program.
• Update the credential portal and ensure proper design and maintenance of credentials.
• Import names, photos, roles and assign access zones for all tournament credentials.
• Liaison with all applicable parties on credential needs/printing, including vendors, media – local and national, foundation, players, Astros/Course staff and other tournament constituents.
• Build credential boards for all tournament week entry points including parking lots, gates, hospitality venues, clubhouse, locker room, media center, tournament office, etc.
Parking:
• Oversee distribution and creation of all parking passes onsite and offsite.
• Plan and allocate parking spaces for sponsors, VIPs, and vendors within Memorial Park.
• Collaborate with the transportation company to supply equipment for scanning parking passes and tracking all numbers.
Hospitality:
• Manage tournament hospitality venue entry system.
• Organize and oversee hospitality partner contracts, agreements, and related files.
• Create and mail out all hospitality packages (tickets, parking passes, credentials, etc.).
• Assist in preparation of materials for partner-related functions.
Qualifications
• Bachelor's degree in Business, Hospitality, Sports Management, Marketing, or a related area.
• Ability to thrive in a team setting.
• Initiative in project management and problem-solving.
• Excellent verbal and written communication skills for cold calls, emails, and stakeholder coordination.
• Ability to multitask and stay calm under pressure.
• Proficiency in managing CRM systems and sponsor tracking databases.
• Strong organizational skills, attention to detail, and time management.
• Proficiency with Microsoft Office Suite.
Work Environment
This job operates in an office and event environment. This role routinely uses standard office equipment such as computers, phones and photocopiers. The noise level is usually moderate but can be loud within the tournament environment. Employee will be exposed to inclement weather of varying degrees. Employee must always be alert due to the threat of balls and other objects liable to be present and active.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a largely sedentary role. Specific vision abilities required by this job included close and focused vision. Ability to operate office equipment including but not limited to copier, laser printers, fax machine, telephone, computer, etc.
Position Type and Expected Hours of Work
Ability to work a flexible schedule, including; extended hours, evenings, weekends, and holidays.
Travel
Some travel maybe expected in this role.
