Full Time Job
Job Summary:
The Coordinator, DMG's main responsibility is to assist in the key day-to-day responsibility on all issues related to the overall facilities for DMG and the position will also provide some administrative support including office reception, calendar management, expense reports, travel arrangements, organizing, among other support duties.
This role will work closely with all members of the DMG team, reporting to the SVP, Administration & Operations. The ideal candidate should be extremely detail-oriented with an ability to multi-task and prioritize within a fast-paced work environment.
Responsibilities:
• Provide reception duties, such as answering phones, greeting guests and vendors
• Coordinating with building management and security for guest access and parking
• Liaise with Disney Operations manager responsible for the DMG space, including Crisis Management
• Ensure smooth process with daily mail pickups and drop offs, including global and local courier services
• Receive, review and resolve individual employee facility issues, including furniture repairs and replacements
• Ensure all shared areas are properly maintained, including liaising with cleaning staff, maintenance crews and building employees
• Create and implement a new employee off boarding/onboarding process, including but not limited to ensuring workstation/office is cleared and then subsequently ready for new residency, signage, supplies, maintaining contact lists
• Oversee all ordering and organization of kitchen items, office supplies, magazine subscriptions and mobile phones
• Maintain all shared spaces, conference rooms, learning technology and creating 'how to' summary pages for each and be available for training, as necessary
• Partner with and support the various exec assistants & department coordinators as needed
• Continuously identify opportunities for process improvement to senior management
• Additional ad hoc duties
Basic Qualifications:
• Excellent communications skills, both written and verbal
• Ability to work within a team and drive change
• Strong problem solving, project management and time management skills
• Ability to work in a dynamic and creative environment
• Experience working with audiences spanning front line staff through senior executives
• Ability to manage multiple high priority projects under constant pressure to deliver
• Capacity to understand and navigate within company cultures
• Ability to develop and maintain strong relationships and interact comfortably and effectively with multiple internal and external stakeholders
• Critical attention to detail, accuracy, and design
Required Education
• Bachelor Degree or equivalent work experience
