Executive Assistant
As the executive assistant of the San Francisco Chronicle, you will play a vital role in supporting the Bay Area's leading media company. You will work closely with the company's leadership in helping to support the organization and manage the office.
What will you do?
• Arrange and schedule meetings for the Publisher and leadership team, often serving as the first public face of the company to visiting dignitaries, visiting tour groups, and readers.
• During election season, assist the Opinion team in organizing candidate interviews
• Manage submissions for newsroom awards
• Basic office management functions with an opportunity for future career growth.
• Work across departments to get information to appropriate leaders
• Develop strong relationships and partnerships – act as liaison and coordinate services with building management and vendors
• Coordinates space management and planning activities, including conf room booking
• Office space coordinator (desk reservation system)
• Manages the daily assignment of the Chronicle's training room. Works with requesting departments to ensure all rooms are properly configured to accommodate meeting requirements. Ensures all technical AV requirements are readily available for meeting use
• Ensures all third-party equipment repairs and maintenance are rendered in the timeliest manner
• Organize All Hands, and Summer Interns meetings, including catering for dept meetings as necessary
• Keeping the kitchen clean and stocked
• Concur troubleshooter and liaison with Hearst Service Center
• P-card troubleshooter
What will it take to be successful?
• Intense curiosity and interest in community journalism and familiarity with current events
• Bachelor's degree or equivalent experience as an executive assistant and/or Office Manager
• Highly organized and detail-oriented with a proven ability to effectively juggle multiple tasks
• Excellent writing and interpersonal skills and demonstrated experience handling sensitive information
• Strong customer service focus
• Ability to work collaboratively across departments
• Demonstrated success working in a deadline-driven environment
In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in California. The reasonable estimate is between $70,000 and $80,000. Please note this information is specific to those hired in San Francisco. If this role is open to candidates outside of San Francisco, the salary range would be aligned to that specific location. A final decision on the successful candidate's starting salary will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications, and education.
