Hearst Magazines is hiring a Production Assistant to help both on set and with office needs. The ideal candidate should be quick on their feet, detail oriented, able to work in a fast-paced environment, and have experience managing multiple projects simultaneously. This role will be primarily in-office (minimum of 3 days a week, sometimes more if shoot schedules require) – flexibility with hours and working occasional weekends is a must.
This role will report to the Director of Video.
RESPONSIBILITIES
Responsibilities:
• Assist in managing calendars across all levels of production via Airtable – including pre-pro, production, and post
• Manage calendars, coordinate internal and external meetings through Microsoft Outlook
• Liaise with West Coast team to ensure all calendars are synced
• Assist with expenses and budget tracking
• Assist with shoot paperwork and releases
• Assist with pulling and shopping for props for shoots, as well as other shoot-related runs (dropoffs/pickups)
• Transcribe interviews as needed
• Assist on set during shoots (including addressing last minute requests, printing creative and question cards, adjusting décor, lunch/coffee/crafty runs, organizing the green room, and more)
• Prepare creative info sheets and celeb research packets for upcoming shoots
• Assist in pulling b-roll and miscellaneous assets
• Assist with upload needs across platforms
QUALIFICATIONS
Requirements:
• At least two strong internships
• Bachelor's degree in video production or related field
• Extreme organization is a must for this role, as it will be working across multiple different departments
• Ability to multi-task and wear many different hats
• Ability to independently problem-solve
• Must be pop-culture obsessed and dialed into the celeb zeitgeist/social media ether
• Must be willing to work flexible hours, including occasional weekends
• Prior experience working with A-list talent a PLUS
• This position is based in the NYC office 3 days a week minimum, no exceptions.
Preferred:
• Knowledge in Frame.io, Google Suite, Airtable, Microsoft Outlook, and Concur are preferred but not required
This is a position covered under the Writers Guild of America, East, Collective Bargaining Agreement.
