Executive Assistant, Hearst Men's Group
Hearst Magazines is looking for an Executive Assistant to join the Hearst Men's Group team to support the SVP/Publishing Director and the General Manager. The person must be an extremely organized, self-starter and a fast learner who is motivated to go above and beyond what is expected. The Executive Assistant will interact with various departments and be exposed to many areas within the media industry, including digital, editorial, production, marketing and business development.
Responsibilities
supporting the SVP/Publishing Director are, but not limited to:
• Managing daily calendars, arranging all meetings and appointments
• Scheduling all travel arrangements (hotel, air, car service, etc. for domestic & international travel)
• Submitting weekly expense reports
• Client follow up emails, notes and gifts
• Preparing for all client calls
• Restaurant reservations for client entertaining/liaison
Responsibilities
supporting the General Manager are, but not limited to:
• Ad Hoc analysis and reporting
• Processing invoices, immediate payments and foreign payments
• Fielding payables inquiries
• Assisting with expense tracking and forecasting
Qualifications:
• Ability to multi-task and not get overwhelmed
• Master of administrative skills in an extremely fast-paced environment
• Strong time management skills, able to prioritize and meet deadlines
• High-level energy and self-starter
• Exceptional attention to detail
• Excellent communication skills, both verbal and written
• Strong calendar management and extensive travel skills required
• Must be pro-active and solution oriented
• Proficient in Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
• Bachelor's Degree
• Minimum 2 years of executive assistant experience preferably in media/publishing
