Food Network Magazine and Pioneer Woman Magazine are looking for an Executive Assistant to pro-actively provide full support to the SVP, Publisher & CRO and Associate Publisher, Sales. The ideal candidate must be able to juggle multiple requests and operate with poise and grace under pressure. He/she must be extremely organized, have excellent communication skills, and possess a positive, can-do spirit. The Executive Assistant will always maintain a professional and personable decorum and is expected to be a team player and set a leadership example in the office.
Job Responsibilities
Include, But Are Not Limited To:
• Manage daily calendars, arrange all meetings and appointments
• General office support: answering e-mails, phone calls, data entry, filing,
photocopying
• Maintain Publisher's email inbox
• Make all travel arrangements (hotel, air, car service, etc.)
• Manage client entertaining: restaurant reservations, catering, host meetings
• Submit bi-weekly expense reports
• Client communication: follow up emails, notes and gifts
• Prepare Publisher and Associate Publisher for all client calls and external meetings
• Manage team projects, proactively enforce deadlines
• Maintain and update all office contacts
• Be abreast of competitor and industry news/press, update executives and staff
• Prepare materials (documents, charts) for weekly sales meeting
• Distribute sales signoffs between billing department and reps
• Manage holiday and vacation schedule for staff
• Submit monthly comp reports
• Assist with updating sales rep account lists and Media Radar
• Assist with special projects as needed
• Manage the FNM interns
Qualifications:
• Minimum 1 year of executive assistant experience preferred
• Outstanding and professional communication skills (verbal and written)
• Confidence communicating with high-level executives and clients
• Strong skills in multi-tasking and prioritizing in a fast-paced environment
• Ability to keep all work and information confidential
• Microsoft Office proficiency, specifically in Excel (others: Outlook, PowerPoint, Word)
• Fluent use of iPad, iPhone; proficiency in social media preferred
