Full Time Job
The Associate Manager of Events & Special Projects is responsible for planning and supporting large, high profile events, including corporate, executive events and conferences, former employee recognition, and charitable affiliation events.
Responsible for all aspects of event planning, contributing to the development of event concepts and event presentations and videos, researching and sourcing venues, coordinating communications materials (posters, signage, invitations, menus, t-shirts, etc.), and managing all logistics to ensure smooth execution of the events.
Some travel, but mostly NYC events.
Essential Functions

• Research new and creative resources and vendors for events.
• Source and coordinate with all external vendors as necessary, depending on the event.
• Coordinate directly with the Creative Communications and Marketing Communications team for the development of all collateral material, including evites, printed invitations, programs, menu cards, name badges, event signage, etc., depending on the event.
• Identify and evaluate vendors, negotiate and enter into contracts with vendors.
• Responsible for planning all event details and coordinating the logistics, including AV, IT, stage production, catering, décor, florists, musicians, DJ, and all vendor coordination to ensure smooth running of the event.
• May also coordinate video-taping of events and photo shoots at the event.
• Responsible for developing and managing the budget for all assigned events.
• Responsible for managing the invitee and RSVP lists.
• Support event participants with hotel and travel arrangements for events as needed
• Maintain database of all Hearst Magazines charitable activities.
• Provide weekly status update on all assigned projects.
• May partner with or coordinate directly with all levels of Senior Management, both internal and external.
Competencies
• Direct experience in event management for large, high profile events.
• Excellent communication skills.
• Excellent interpersonal skills, able to work with Senior Executives, manage vendor relationships and temporary staff at events.
• Excellent organizational skills, detail oriented.
• Able to work independently as well as on teams.
• Able to remain calm in a fast-paced environment, managing multiple assignments simultaneously.
• Proficient with Survey Monkey, Excel and Powerpoint.
Supervisory (Management) Responsibility
• Manage temporary/ vendor/ venue staff at events.
• Manage vendor relationships.
