Executive Assistant for Documentary Programming

This position will support one of the Executive Vice Presidents of HBO Documentary Programming. Candidates must have a strong ability to interact well with all levels of internal management and outside producers and talent in a fast-paced, multi-tasking environment. HBO Documentary Programming is seeking a positive team player who is proactive, detail-oriented, highly organized, a great communicator and a quick-thinking problem solver.
Your Role Accountabilities
• Admin support including high volume scheduling and maintaining a complex, often-changing executive calendar in collaboration with other administrative staff in the unit; arranging executive and talent travel, scheduling calls, video conferences and meetings, maintaining detailed Contacts database; processing expense reports and screening and logging phone calls and emails. Other administrative and clerical duties and ad-hoc projects as assigned
• Maintain centralized tracking for high volume programming, delivery timelines and contacts in coordination with other executives
• Setting and occasionally monitoring video and conference calls; researching background on pitches and topics of discussion, as well as writing summary notes of such meetings when monitoring.
• Tracking and organizing incoming pitch materials & creative deliverables
• Work collaboratively with assistants and executives across various departments such as production, marketing, media relations, talent relations and content planning
• Communicate with high-level talent and external partners
• Assist in organizing events at HBO and external venues
• The position is NY based, currently with a hybrid work schedule
Qualifications & Experience
• 1-5 years of prior experience as an administrative assistant in the entertainment industry required
• Prior experience with cable/broadcast/streaming outlets and/or documentary production/programming preferred
• Demonstrated interest in the documentary field strongly preferred
• Sharp writing and organizational skills
• Top notch communication skills and propensity to collaborate
• Possess a high degree of professionalism, prioritization and accuracy
• Maintain a high level of confidentiality and diplomacy
• Ability to multi-task and work well under pressure
• Proficiency in Microsoft Office, Google Suite, Sharepoint, Excel, Slack and virtual workspace essentials like Airtable and Zoom
• Proficiency in creating presentation decks for internal and external partners
• Bachelor's degree preferred

Base pay is just one component of Warner Bros. Discovery's total compensation package for employees. Pay Range: $47,466.00 - $88,150.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros.
