Your Role Accountabilities…
Calendar & Time Management
• Own and manage complex calendars while juggling meetings, shifting priorities, and making sure everything (and everyone) lands where it needs to
• Anticipate what's coming next so your executives are always prepared and focused on what matters most
Meetings, Events & All the Logistics
• Coordinate everything from daily meetings to larger team events, including room setups, materials, and video calls across time zones
• Be the go-to for making sure every detail is covered from start to finish
Communication & Team Connection
• Act as a key point of contact across the team, other departments, and external partners
• Keep communication flowing smoothly while handling sensitive information with discretion
• Connect, field, and log all outgoing and incoming calls
Travel & Expenses
• Plan seamless travel (domestic and international), from flights to itineraries
• Handle expense reporting via Concur while tracking and auditing with accuracy and efficiency
Financial & Admin Support
• Process invoices, purchase orders, and expenses while keeping everything aligned with company guidelines
Onboarding & Team Setup
• Support day-to-day needs that keep the team operating at full speed
Organization & Tracking
• Keep systems, files, and trackers clean, updated, and easy to navigate
• Ensure details don't slip through the cracks
All-Hands Support
• Jump in wherever needed—projects, team initiatives, or last-minute asks
• No two days are the same, and you're all in
Qualifications & Experience...
• Bachelor's degree or equivalent professional experience
• At least 2 years supporting executives, ideally in media, entertainment, or a fast-moving creative environment
• Experience working with different personalities and leadership styles
• Strong organizational instincts—you know how to prioritize, pivot, and stay ahead
• A natural communicator with sound judgment and a high level of discretion
• Detail-oriented, proactive, and cool under pressure
• Comfortable with Microsoft Office (Outlook, Word, Excel, PowerPoint), plus tools like Slack, Zoom, Teams, and Concur
Salary/Benefits
$44,670 - $82,959 /year USD
