Production Bookkeeper / QuickBooks Cleanup Specialist
We are seeking a highly experienced production bookkeeper with advanced QuickBooks expertise to clean up and standardize the accounting records for a two-year independent film project. After the initial cleanup, the position may transition into an ongoing monthly role overseeing our bookkeeping and payroll records.
This position has two phases.
Phase One: Four-Day QuickBooks Cleanup
The initial engagement will be a focused, four-working-day review, cleanup, and reorganization of the project's QuickBooks records.
Over the past two years, four different line producers have managed the books using different accounting methods and coding systems. As a result, the records are not currently organized in a consistent production-accounting format.
The selected bookkeeper will be responsible for:
Reviewing approximately two years of QuickBooks activity
Identifying inconsistent, duplicate, missing, or incorrectly classified entries
Cleaning up and reconciling bank, credit-card, payroll, and other relevant accounts
Standardizing the chart of accounts and expense categories
Organizing transactions according to current film-production accounting practices
Establishing a uniform coding system aligned with the production budget and cost-reporting requirements
Reviewing payroll entries and related reconciliations
Consolidating records maintained by four line producers into one clear and consistent system
Coordinating directly with our accountant to ensure the final structure meets their requirements
Delivering clean, organized, production-friendly, accountant-ready books for the entire project
Recommending procedures for maintaining consistent records moving forward
This is not a basic bookkeeping or data-entry assignment. We need an experienced professional who can evaluate the existing records, identify problems, make informed cleanup decisions, and restructure the project into a cohesive production-accounting system.
The selected candidate will review the QuickBooks file at the beginning of the engagement and immediately identify any issues that may require additional time, documentation, or approval.
Phase Two: Ongoing Monthly Bookkeeping and Payroll
If the initial cleanup is successful, the position will transition into an ongoing monthly engagement.
Responsibilities will include:
Maintaining accurate and current QuickBooks records
Recording and properly coding receipts, invoices, and expenses
Managing payroll entries and payroll reconciliations
Reconciling bank, credit-card, payroll, and other relevant accounts
Maintaining consistent production-accounting practices
Keeping financial records aligned with production budgets and cost reports
Coordinating regularly with our accountant and payroll provider
Preparing monthly financial information
Keeping the books organized and accountant-ready at all times
Establishing consistent accounting procedures for future productions
Experience Requirement
Please apply only if you are a highly experienced QuickBooks professional with direct film-production accounting experience.
This position requires advanced, hands-on experience cleaning up complex QuickBooks files, reconciling historical records, establishing production-style account coding, and coordinating with accountants.
General bookkeeping experience or basic-to-intermediate QuickBooks knowledge will not be sufficient.
Required Qualifications
Advanced professional proficiency in QuickBooks
Direct experience using QuickBooks for film or entertainment productions
Strong knowledge of current film-production accounting practices
Significant bookkeeping, reconciliation, and cleanup experience
Demonstrated experience restructuring disorganized or inconsistently maintained books
Experience in film, television, commercial, or entertainment-production accounting
Familiarity with production budgets, account coding, cost reports, payroll, and line-producer workflows
Exceptional attention to detail
Ability to work independently and make informed accounting recommendations
Strong communication skills
Ability to coordinate directly and professionally with our accountant
Compensation
Day rate: $550
Initial engagement: four working days
Total initial project compensation: $2,200
Compensation for ongoing monthly bookkeeping will be determined based on transaction volume, payroll requirements, and expected workload.
Ideal Candidate
The ideal candidate understands both traditional bookkeeping and the specific requirements of film-production accounting. You should be comfortable taking two years of records maintained by multiple line producers and transforming them into one clean, uniform, production-friendly QuickBooks system.
You should enjoy bringing order to complicated financial records, work efficiently under a focused deadline, and be capable of maintaining the system in close coordination with our accountant.
