Job Title: Chief of Staff
Location: Los Angeles, CA
Reports to: The Chairman
Commitment: 50 hours/week minimum, on call 24/6, possible Domestic & International travel
Job Description: A boutique brand strategy and think tank collective is seeking a highly qualified and experienced Chief of Staff for its Founder and Chairman. The person in this role will be responsible for managing a wide breadth of operational, strategic, and logistical functions in order to set our Chairman free to focus on what matters most. The right person will be a tight operator, thorough and detail oriented, confident and secure, and committed to representing the office of the CEO with integrity, authenticity and excellence. Celebrity savvy, HNW/UHNW experience and professional demeanor are required. The person in this role will have the opportunity to meaningfully impact the growth of the business through their support of the Chairman, build a management support team under them and provide new levels of service as needs grow. We are looking for someone who is passionate about the Chief of Staff role and is looking for a long term principal to support through thick and thin.

Critical Tasks and Responsibilities:
Calendar Management; Including working with the Chairman, office team, and assistant to facilitate meeting requests, oversee schedule management and calculate timing; always with an eye to priority alignment
Daily Guidance; Including briefings, frequent daily touchpoints, ensuring all preparation is complete for every commitment, and Manager's needs are fully met to enable high performance at every engagement throughout the day
Client & Partner Communications; Including regular emails, drafting responses for correspondence, scheduling, corporate gifting and working with the Chairman's assistant for meeting follow ups, confirmation of gift delivery, etc. The person in this role also provides the communication framework for clients, employees and executives.
Travel Bookings & Logistics; Booking airfare, ground transport and hotels at various levels including private & commercial travel. Coordinating with colleague/family offices when traveling with other teams, ensuring hotels and speaking venues have been advanced, providing riders, local city guides, etc.
Gatekeeper Duties; Serving as first point of contact for others who need time and energy from the Chairman and defending his time and energy resources by providing as much information as possible or facilitating his interaction with others to appropriate levels. Ensuring the Chairman's involvement in projects or decision-making processes takes place at key times, where their input and authority are most needed.
Project Management; Including tracking tasks, such as deriving actions from email correspondence or from meeting notes, keeping the Chairman on track with to do's, crafting and adhering to timelines and communicating with the team to guide the Chairman to consistent and on time delivery of work product and fulfillment of goals. Conduct research as it relates to current projects and potential clientele, analyze data, and make recommendations.
Office Duties; Filing and keeping office tidy, maintaining detailed status reports and documents. Meeting and greeting visitors at all levels of seniority; answering/returning calls, rolling calls when needed, and many other similar administrative, clerical and support duties. The person in this role will also be responsible for proposing the creation of new systems and processes to streamline operations. They will also manage the hiring process for leadership roles reporting to the CEO.
Required Competencies and Qualifications:
4+ years of experience working in a Chief or Staff or Executive Assistant role to a business leader or celebrity
High level of discretion
Anticipatory and proactive
Ability to synthesize information and gate-keep effectively
Strong relationship management and communication skills
Provides calm in ambiguous, urgent or stressful environments
Ability to prioritize and work cross-functionally when managing several concurrent threads
Highly organized and reliable, with strong follow up & follow through
Solutions oriented, can perceive problems and suggest and implement solutions
Strong calendar and scheduling skills, experience across multiple time zones
Experience with travel bookings and logistics; both commercial & private
Sensitivity to the nuance of International cultures and business etiquette
Knowledge of the luxury sector
Desired Competencies and Qualifications:
Experience managing and leading a team with direct reports
Familiarity or knowledge of business systems and tools including; Mac Office Suite, Google Suite, Slack, DocuSign, and Trello
Event planning and execution experience
Local knowledge and relationships in key markets & cities
