Greenberg Traurig, a global law firm with a strong entertainment practice, currently has an excellent full-time employment opportunity in the transactional Entertainment Department of our Los Angeles office. Entertainment areas include television, music, motion picture, and new media platforms. We offer competitive compensation and an excellent benefits package.
Position Summary:
This position supports up to three attorneys, including Department Chair, in a secretarial/executive assistant capacity. Provides a wide range of administrative, clerical and document processing services in the Entertainment practice department.
Duties & Responsibilities:
• Maintain legal files (both paper & electronic), organize and file documents in designated order, as well as prepare, enter, proofread and process legal and administrative correspondence.
• Process time entry, open new matters, draft engagement letters, schedule meetings, make travel arrangements, process reimbursement expenses, maintain calendar, collate information, write reports, prepare agendas, review and preparation of billing invoices, and other administrative duties, as needed by the department.
• Manage phone lines for supported attorneys, fielding calls, initiating conference calls and conveying messages clearly and promptly. Communicate with clients, opposing counsel, agents and managers.
• Strong social media dexterity and online research capabilities.
• Manage document deliveries and track final executed documentation.
• Perform overflow typing, filing, or photocopying as time permits and as requested by other attorneys.
Skills & Competencies:
• Established understanding of Entertainment practice.
• Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies.
• Strong ability to maintain high standards, use good judgment and seek out ways to contribute and anticipate needs.
• Strong attention to detail, organizational skills, ability to manage time effectively, excellent verbal and written communication skills, work under pressure and multi-task while meeting strict deadlines.
• Positive attitude, excellent interpersonal skills, communication skills and the ability to collaborate well on a team.
• Requires manual dexterity and physical mobility, including the ability to move frequently (several times an hour) from work station or desk to work independently or with team to organize documents/binders and retrieve files stored in vertical cabinets throughout the work area.
• Position requires ability to move from the work station or desk several times throughout the day and go to various offices to retrieve documents and meet with attorneys, and receive instructions.
• Position requires ability to work full time, 37.5 hours a week, with flexibility for overtime as necessary.
• Perform all other duties as assigned.
Qualifications & Prior Experience:
Bachelor's Degree is a plus
