Essential Functions:
As Executive Assistant and right hand to the Chief Creative Officer you will manage a full range of daily tasks and provide high-level support. You will also work closely with our CEO and her Executive Assistant. Most importantly, the Executive Assistant will be confident and able to optimize both the Chief Creative Officer and CEO's time while managing full business and personal calendars. Be a critical thinker and consistently have foresight to be ten steps ahead.
Primary Responsibilities:
• Completes a broad variety of administrative tasks for Chief Creative Officer & CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence.
• Plans, coordinates and ensures the Chief Creative Officer & CEO's schedule is followed and respected.
• Provides ''gatekeeper'' and ''gateway'' role, for direct access to the CEO and Chief Creative Officer's time and office.
• Assist General Manager with administrative tasks including onboarding new employees, scheduling meetings with staff, vendors or clients, and organizing internal company meetings and events.
• Be a trusted partner of senior management handling confidential information in a professional manner.
• Arrange Travel; flights, transportation, and accommodations; create comprehensive and detailed itineraries
• Communicates directly, and on behalf of the CEO and Chief Creative Officer when advised
• Provides a bridge for smooth communication between executive management team and internal departments; demonstrating leadership to maintain credibility, trust and support with executive management team
• Works closely and effectively with the Chief Executive Officer and CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
• Prioritizes conflicting needs; handles tasks expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Works closely with the Project Management team in ensuring the Chief Creative Officer's time is managed for all projects, meetings and events.
• Manage and execute all Gravillis Inc. events; Birthdays, Happy Hours, Holiday Party, Bowling, etc.
• Assist the in-house bookkeeper with expenses while coding all credit cards for the Management team
• Assist Studio Manager in day to day studio needs as needed and email marketing distribution.
Requirements:
• Bachelor's degree, preferred
• 6+ years as an Executive Assistant required
• Previous experience within an entertainment or media agency a must
• Ability to work independently and within a team; a multi-tasker & self-starter with strong leadership abilities
• Capability in maintaining professionalism, confidentiality, diplomacy and discretion
• Strong strategic, analytical and problem-solving skills; demonstrate intuitive and critical thinking skills
• Strong organizational and time management skills
• Heightened business acumen; effective and professional verbal + written communications skills
• Must be self-motivated and take initiative with decision-making ability
• Experienced knowledge of computer systems and applications; must have technical skills including MAC,
Microsoft Office programs, Internet at a highly proficient level
• Must be able to work in a high-pressure environment and become assertive when needed
