The Executive Assistant to the CEO will provide high-level administrative support to the CEO and assist with the day-to-day operations of GoodTalk and all other business ventures the CEO is involved in. The successful candidate will be responsible for managing the CEO's schedule, coordinating meetings and events, handling correspondence, managing travel arrangements, and performing various administrative tasks to ensure the smooth functioning of GoodTalk and all other business initiatives.
Key Responsibilities:
Prepare agendas, briefing documents, notes, and follow-ups for meetings and calls
Coordinate meetings and events, including preparing agendas, arranging logistics, and ensuring all necessary materials are available
Handle all incoming & outcoming correspondence, including managing emails, coordinating phone calls, sitting in on all meetings
Coordinate communication and logistics across all business entities
Track action items, deadlines, and deliverables across multiple projects and ventures
Assist with project management for launches, events, tours, campaigns, and partnerships
Support business operations including vendor coordination, contracts routing, and approvals
Ensure timely responses and follow-through across all business lines
Manage travel arrangements, including booking flights, hotels, and ground transportation, and preparing travel itineraries for the CEO and all traveling parties
Travel with the CEO to provide on-site support during business trips
Assist with personal scheduling, errands, and logistics as they relate to the CEO's ability to operate effectively
Coordinate personal appointments, household services, and ad-hoc requests when required
Handle Expense & Budget Reports for various businesses & personal, bill pay alongside personal and business finance teams, and invoicing
Act as fast and efficient conduit between staff, artists, partners, and vendors
Manage and maintain confidential files and records.
Plan & execute special events/projects for the brand including holiday parties, charity events, brand activations.
Qualifications:
Bachelor's degree in a relevant field preferred.
2+ years of experience providing executive-level support.
Knowledge of the music industry and experience working in a music label or related field is highly desirable.
Must have a drivers license and would be preferred if you have your own vehicle.
Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy.
Excellent verbal and written communication skills, with the ability to communicate effectively with all levels of the organization and external contacts.
Proficiency in Google Suite.
Ability to maintain confidentiality and handle sensitive information with discretion.
Salary/Benefits
$60,000.00
