We are in search of an executive assistant to support the daily tasks /schedule/communications of one of our partners in our Entertainment Business Management Practice. We are an accounting firm which focuses on the entertainment industry. Pay will be commensurate with experience and all levels of experience are welcome to apply.
The ideal candidate must have a strong background in dealing with the principal's. Responsibilities include but are not limited to:
Handle information with an extremely high degree of sensitivity and confidentiality.
Complete a broad variety of administrative tasks which includes managing an extremely complex calendar, scheduling meetings, arranging global travel plans.
Help to prepare for meetings by ensuring the appropriate stakeholders are available, create/share meeting minutes, coordinate necessary follow-ups, and ensure team members are prepared and informed before team meetings.
Compose correspondence, prepare presentations, reports and other ad hoc materials.
Triage inbound email messages and prioritize flagging important items for follow up.
Serve as liaison to all internal staff and external audience/clients/partners.
Support executive at events with preparation, coordinating travel to events and any other activities required.
Support executive overall by participating in the planning and execution of meetings and events.
Contribute to a highly engaged culture.
Acting as gatekeeper and liaison for principal
Manage email flow and provide communication to principal
Heavy calendar management; ever-changing, complex schedule of business and personal matters
Event planning and execution
Financial management, both personal and business
Bookkeeping and keeping track of all personal expenses (must be familiar with QuickBooks)
Updating and maintaining records of important contacts
Creating detailed and organized travel itineraries; booking flights, ground transportation arrangements, etc.
Conducting research and
Drafting and responding to correspondences
Overseeing the calendars and payroll of the household team
Vendor and contractor management (overseeing projects related to the residence)
Assisting with pet care; the family has one dog
Personal shopping, executing special requests, running errands, and related duties as needed
Schedule: 9 AM - 5:30 PM in-person support 4 days a week, with the flexibility to work remotely one (1) day.

Requirements:
Bachelor's degree required
Minimum of 2 years related experience supporting prominent individuals
Excellent references from both current and previous employers
Prioritize executive tasks and multi-task effectively
Strong communication skills, both written and verbal (additional language skills are a plus)
Proficiency in all areas of Microsoft Office; must be very tech savvy
Professional mindset and the utmost discretion
Ability to work independently and as part of a team
Detail-oriented with exceptional organizational skills
Valid US work authorization
Valid Driver's License
