Executive Assistant to Artist

About the Role

This role is ideal for someone who loves the business side of music and knows how to turn conversations into opportunities. You understand the music industry, enjoy building professional relationships, and know that successful outreach requires more than sending an email.

You will help manage communications, pursue performance and publicity opportunities, identify funding, and coordinate outreach to festivals, podcasts, media outlets, and industry professionals.

Key Responsibilities
• Research and pursue suitable music festivals, concert opportunities, and performance bookings
• Prepare pitches, track submissions, and follow up consistently.
• Develop and maintain a forward-looking calendar of festivals, applications, and performance opportunities
• Identify and pursue podcast appearances, interviews, music reviews, and press opportunities.
• Manage outreach correspondence and maintain a record of communications, responses, and next steps.
• Research grants, sponsorships, and funding opportunities that align with artist's work and career goals.
• Track deadlines, eligibility requirements, application materials, and submission status.
• Manage email correspondence, calendars, scheduling, and follow-up on pending items.
• Keep spreadsheets, contact databases, and project trackers organized and up to date.

Qualifications
• Experience supporting artists, music executives, entertainment professionals, or similar creative businesses.
• Familiarity with the music industry, particularly festival booking, talent buyers, artist publicity, and media outreach.
• Strong professional writing skills and the ability to adapt to an artist's individual voice.
• A proven system for tracking outreach, follow-ups, contacts, deadlines, and long-term opportunities.
• A self-starter who anticipates needs, takes ownership of projects, and works independently.
• Experience with administrative work, spreadsheets, research, and keeping multiple projects moving.
