Content Administration & Fulfillment

Key Responsibilities
Responsible for raising Purchase Orders for all movie and TV content out of the US offices base and handling all movie & TV related materials ordering, maintaining various Lab and Studio processes, including any related movie admin general tasks, reporting to the Operations & Service Delivery line manager.
You are expected to manage and prioritize workloads, and understand the importance of delivery timelines whilst maintaining high standards of output.
As an experienced Coordinator you are expected to have a meticulous eye for detail. You will also have good communication skills enabling liaison with different departments.
Willingness to work flexible hours, and as part of a team are a must.
Specific Tasks
Movies & TV ordering:
• Raising, amending and sending of purchase orders where required in the PO system based on finalized client ordering charts provided by Movie Programming
• Overseeing the checking process for all purchase orders to minimize errors
• Maintaining client systems and information in the Master Data required for ordering
• Working closely with labs to enter digital orders into SAFE or other system – and assist with finding a more efficient solution
• Working closely with Walt Disney to enter all orders into online BVNT system – and assist with finding a more efficient solution
• Reporting issues to designated team member in Programming team where necessary
• Tracking of analogue content from Labs to clients, liaising with Operations and reporting issues where necessary, including digital content when required
• Tracking of all TV content to Global Eagle offices and issuing a shorts tracker report to ensure any issues are reported
• Ordering of replacement analogue content reported by QC
• QC material formats for TV content requested and file repurpose information within client ordering charts provided by programming/ scheduling team, before raising Pos.
• Maintaining client systems and information in the Master Data required for ordering
Materials Ordering:
• Overseeing the ordering of all digital elements required by the content programming/ scheduling team to complete all required files for any given cycle
• Creating and maintaining grids and POs to facilitate the above process – and finding a more efficient solution
• Working closely with all labs to minimize issue and maintain good relationships and improve processes
General / Ad-Hoc:
• Quarterly generated reports to all Labs regarding QC failure reports
• Chasing, receiving and filing confirmed PO’s from distributors, including filing digital charts and records on system
• Any related admin tasks required when necessary (This may involve content research, screening, database maintaining, data entry etc)
Interests and generic skills
• Excellent attention to detail
• Intermediate IT skills, familiar with Microsoft Excel and Access
• Analytical skills and a keen eye for detail
• Extremely organized and efficient
• Confident in their abilities to keep the department organized but with the flexibility a busy department needs with constantly changing deadlines and priorities
• Self-motivated and proactive, willingness to question discrepancies
Qualifications
• A Level or equivalent
