Office Production Assistant, Non-exempt, Full-time Beverly Hills, CA
Reports to: Dev Executive with a dotted line to Head of Facilities and Operations
Schedule: 8 am-7 pm, Monday -Friday, with some weekend work
About you:

• You have a knack for acting in a sequential fashion- priorities come first. If you're not sure what they are, you don't shy away from asking
• Are self-directed and understand how to prioritize a variety of tasks and responsibilities across multiple desks and the entire team
• You have strong interpersonal skills, a positive attitude and are great at forging relationships with different personalities, you are comfortable participating and contributing in internal and external meetings such as staff meetings, generals, and pitches
• You're addicted to reading, binging TV shows, movies, animation, sci-fi, even rom-coms, your tastes run the gamut, and then you like to read some more
• You have a genuine interest in compelling storytelling, a passion for creativity and are eager to learn from some of the best in the biz!
• You don't mind going on kombucha or coffee runs if that's what's needed
About the role:
The Office Production Assistant (PA) will support the Development team on all projects in development and/or active production. These projects include scheduling over multiple calendars, maintaining tracking grids and organizing group materials.
The Office PA will cover the reception desk and provide coverage for other desks when needed. Will perform administrative tasks such as, scheduling, rolling calls and preparing all meeting materials; this could include but is not limited to delivering scripts and materials to company executives. The Production Assistant will also read and provide coverage of incoming submissions in support of the development team.
The Office PA will also support the company's Head of Facilities and Operations with office maintenance. This includes stocking kitchens, maintaining printers, and filling in for them when they are out.
On a given day, your work might include:
• Reception: Greet all guests, have guests sign in, notify the office of guest check-ins, follow-up as needed with guests, sign for packages, work with the facilities manager on deliveries and vendors/contractors.
• General Office Duties: Purchase office & restroom supplies, snacks and beverages as needed. Ensure deliveries of said items are put away timely. Distribute monthly parking passes.
• Intern(s): Collaborate with the interns by answering any questions they might have, supporting them with their onboarding, and checking their work as needed.
• Admin duties: Log and track incoming submissions and update project folders as needed. Organize reading folders and send weekend read material out staff. Fill in for Assistants whenever they are out sick or on vacation.
• Opening Duties: Stocking kitchen supplies, set up conference rooms, empty dishwashers, brew coffee, check Miele, uncover patio furniture, check copiers for reloading paper, Turn music on.
• Mid Day duties: stock and clean kitchen, sort any incoming and outgoing mail and distribute accordingly.
• Closing Duties: cover the furniture, restock the refrigerators, restock copiers with paper if needed.
• And any other duties as assigned.
Your background and experience:
• B.A/B.S Degree or at least 1-year experience in a studio, production company or agency environment
• Strong verbal and written communication skills are essential
• Working knowledge of Microsoft Office and G suite
