About the Role
The Second (2nd) Assistant will provide administrative support the office of the President. Working in tandem with the First (1st) Assistant, the 2nd Assistant will lead all scheduling for the president, including booking travel arrangements and managing a dynamic day-to-day schedule. The 2nd assistant will work with the 1st assistant on submissions, meeting preparations, and office organization of development materials.
The 2nd Assistant will fill in when the 1st Assistant is out of the office by rolling calls, maintaining the phone sheet and preparing all meeting materials. In order to be successful in this position, the 2nd Assistant must have strong attention to detail, strong interpersonal communication skills and must be able to work well in a fast-paced office environment.
On a given day your work might include:
• Scheduling meetings, rolling calls and tracking expenses for the executive that you are supporting
• Corresponding with 3rd parties regarding development and production projects, scheduling meetings and organizing notes and information
• Occasionally being able to participate in creative calls, monitor editorial and production progress and taking notes
• Serve as an active member of the Fuzzy Door team, which may include reviewing pitches to networks, checking for language and grammar issues, giving your opinion so the group can assess the creative viability of a project and working with other assistants to finish a required task that may come up at the last minute.
• Help create grids such as casting breakdowns and writer's grids and messaging selects to various team members
• Other responsibilities as assigned
Qualifications
- At least 1-2 years previous experience in a studio, production company or agency environment (Internships OK)
- Bachelor's Degree required
- Exceptional written and verbal communication skills
- Strong knowledge of Microsoft Office Suite, G-Suite, Dropbox and Mac OS
