Job Description -- Provide administrative and operational support to the SVP, Distribution, US. This process-driven role will help oversee the sales process from pre-pitch through delivery and is a pivotal role to ensure the smooth functioning of the team.
Responsibilities
Schedule meetings and conference calls across multiple time zones and manage heavy call volume
Arrange domestic and international travel and prepare expense reports on a bi-monthly basis
Coordinate convention meeting schedules and calendar and prepare necessary materials.
Prepare expense reports on a bi-monthly basis
Manage rights and clearance checks and perform sales checks against all probable sales
Track program availability and build availability lists as requested based on distribution rights and content genre
Track all pitches to clients
Compile post market reports and producer reports
Prepare sales presentations/materials as requested
Manage client access to deliverables housed on the FM screenings site where we house screening links and ensure client have access to all materials and screening links they need
Prepare deal memos and manage the full sales approval process working with internal departments (rights, finance, legal, operations, marketing) and third parties to ensure smooth workflow and meeting deadlines
Review license agreements and input as needed
Maintain contract status report
Manage process of all deliverables post sales with internal and external partners and ensure deadlines are met.
Research potential new clients and track business of existing clients
Participate in discussions regarding the market, content, and strategies
Develop and maintain positive relationships with internal colleagues and external clients
Other duties as requested to support the team
Requirements
3+ years senior administrative support experience
Previous entertainment industry experience, preferably in sales and/or distribution
Proficiency in Microsoft Office (Word/Excel/Outlook/PowerPoint)
Strong communication skills with the ability to communicate with clarity and professionalism
Self-motivated, well organized with the ability prioritize to meet deadline
Ability to work well under time constraints and in a fast-paced goal-oriented environment
Understand issues, anticipate and problem solve
Proactive and responsible team player, collaborating for success
