Job Description - Provide administrative and sales support to the SEVP and overall department.
Responsibilities
• Coordinate and manage diary for senior executive including meetings/calls/industry events/conventions
• Handle all travel arrangements and expense reimbursements and other PA related responsibilities
• Manage client access to FM screenings site and trouble shoot as needed
• Coordinate sales reports post markets and all producer reports
• Develop and maintain positive relationships with internal colleagues and external clients
• Prepare both internal and external correspondence including sales presentations as requested, materials for business trips and markets and any other materials as requested.
• Manage the entire Deal Memo process: rights checks, material access, approvals, draft deal memo and all post sale servicing including delivery of materials. Work with internal departments and third parties (rights, finance, legal, operations, marketing) to ensure smooth workflow and meeting deadlines.
• Participate in maintenance of sales logs - contracts status, sales activities and deal tracking.
• Monitor markets and maintain comprehensive client details in database
• Research potential new clients and track business of existing clients.
• Other duties as assigned
Requirements
• 3+ years senior administrative support experience
• Previous entertainment industry experience, preferably in sales and/or distribution with some knowledge of contracts
• Proficiency in Microsoft Office (Word/Excel/Outlook/PowerPoint)
• Strong communication skills with the ability to communicate with clarity and professionalism
• Excellent organizational skills, able to multi-task, have good time management and an eye for detail
• Self-motivated and driven with the ability to meet deadlines and prioritize
• Ability to work with and adapt to different personalities
• Understand issues, anticipate and problem solve
• Proactive and responsible team player, collaborating for success
• Interest in media and passion for content
