FOX Sports is looking for a Freelance Scheduling Coordinator to support the Post Production Scheduling team during the 2026 World Cup. The Freelance Scheduling Coordinator provides critical logistical support for the Creative Services, On-Air Promos, Live Show Edit/Playback, Post Production, and Post Operations groups. The Coordinator will help manage high-volume scheduling for 300+ daily hire union freelancers across 50+ broadcast rooms and 100+ workstations, ensuring seamless communication in a high-pressure, live-sports environment.
A SNAPSHOT OF YOUR RESPONSIBILITIES
Planning & Strategy
• Build and manage weekly schedules for approximately 45 union freelancers based on specific department or show requirements
• Represent the Scheduling department in logistical and planning meetings to align staffing with upcoming production milestones
Live Operations & Real-Time Logistics
• Rapidly execute shift adjustments (start/end times, coding, and locations) to ensure complete coverage for live broadcasts
• Proactively communicate shift changes to all relevant parties; track and confirm freelancer receipt/availability in a timely manner
• Immediately address last-minute call-outs and resource gaps to maintain production continuity
• Verify that all personnel have the necessary hardware/software access, workspace assignments, and other supplies to begin work immediately upon arrival
Administrative & Financial Compliance
• Maintain real-time accuracy within the scheduling software and all shared departmental documentation
• Review and approve timecards and labor coding for 100+ union freelancers, ensuring meticulous accuracy to prevent payroll discrepancies
• Proactively monitor work rules for multiple unions to flag, track, and mitigate potential overages
WHAT YOU WILL NEED
• Proficiency in office collaborative tools, including Google Workspace, Microsoft Outlook, and ideally Salesforce.
• Ability to quickly synthesize and apply union labor rules
• Ability to maintain clarity of information and professional communication, particularly in written correspondence
• Ability to thrive in a fast-paced, live-broadcast environment where priorities and tasks shift on a minute-to-minute basis
• Exceptional attention to detail with a proven track record of maintaining data accuracy in high-volume environments
• Strong interpersonal skills with the ability to use diplomacy and tact when coordinating with production partners and union personnel.
• Proactive approach to troubleshooting and resolving logistical conflicts independently
• Capable of managing multiple high-priority requests simultaneously while working under pressure
• Available to work a non-traditional schedule, including days, nights, weekends, and holidays, to support the 24/7 nature of the World Cup
NICE TO HAVE BUT NOT A DEALBREAKER
• Experience in post-production within a broadcast, studio, or post-house environment
• Prior experience working with IATSE or NABET union contracts
