This is a Full Time Job
Under minimal supervision, the Legal Assistant will provide administrative support for 4 - 5 members of the Business & Legal Affairs department, including 3 Vice Presidents. and backup support for others in the group as needed. The Legal Assistant will assist with the preparation of legal documents and redlines; review and edit prepared documents for accuracy; manage and facilitate electronic signature, distribution, and filing processes; assist in monitoring dates of legal significance (e.g., renewals and expirations); and maintain and administer legal document management systems and processes. The Legal Assistant will also maintain calendars for supported executives, book virtual and in-person meetings and travel, manage expense reports, answer phones, and monitor and maintain CLE logs and compliance reports.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Assist with preparation of legal documents and redlines
• Review and edit prepared documents for accuracy
• Draft routine letters and other correspondence
• Assist in monitoring dates of legal significance
• Manage electronic signature (including notarization, as needed), distribution, and filing processes for agreements, letters and forms
• Manage attorney calendars
• Manage calendars by scheduling meetings and conference calls, often for multiple participants across time zones with varying schedule requirements (including securing conference rooms)
• Create meeting agendas and circulate meeting materials
• General administrative duties
• Update contract binders, photocopy documents and distribute to various attorneys and/or clients
• Maintain and administer electronic and paper legal document management systems
• Answer calls, send faxes and scan documents
• Attend meetings, as requested, to listen in and take notes
• Proof various documents and emails
• Manage expense reports, CLE logs, and compliance reports
• Manage and use document management and tracking systems and tools.

WHAT YOU WILL NEED
• 2-3 years of previous administrative assistant experience
• Prior work experience in a fast-paced environment
• Prior experience managing and/or utilizing contract management tools
• Well-spoken, with strong written/oral communication and interpersonal skills, and the desire and aptitude for learning new concepts/systems/programs on the job
• Strong reasoning skills
• Strong working knowledge of Windows, Adobe Acrobat, Microsoft Word, Outlook, and Excel
• Superior grammar, editing, and proofing skills
• Excellent organizational skills, with the ability to independently prioritize work and handle multiple tasks with set deadlines, with superior follow-through and follow-up
• Ability to complete high volumes of tasks and projects quickly and accurately with little guidance; react with appropriate urgency to situations and events that require a quick response or turnaround; take effective action without having to know the total picture; and solve problems that affect people within the group or other related groups
• Client-service oriented, with great attention to detail while still meeting tight deadlines, and the ability to easily switch gears
• High level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals and others at all levels inside and outside the company
NICE TO HAVE BUT NOT A DEALBREAKER
• Bachelor's degree
• Legal assistant experience
• PowerPoint, iManage, Ironclad and DocMinder, Zoom and/or other video conferencing and document management software knowledge

Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience, and location is: $23.50-36.06 per hour for California. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
