Fox Sports is seeking an Executive Assistant to support the Executive Vice President of Marketing with day-to-day operations. Responsibilities include answering phones, coordinating calendars, scheduling meetings, preparing expense reports and completing on-line travel reservations. This position will also support the SVP with phones, calendar, and travel. This position will be responsible for general office admin needs such as ordering supplies, working with Building Services, helping on board new employees, working with IT for department computer needs, and other office admin needs.
Responsibilities
• Provides a bridge for smooth communication between the EVP's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management team
• Responsible for calendar management and heavy meeting planning involving frequent changes
• Handles all travel arrangements including upkeep of frequent flier accounts, car service, flights, and hotels, mostly utilizing online resources and anticipating frequent changes. Makes restaurant reservations, and creates and provides detailed directions for all travel as needed
• Organizes travel authorization and receipts in order to create and submit expense reports
• Processes expense reports/check requests, account reconciliation, conference and corporate membership registrations, online, trade and publication subscription upkeep
• Handles day-to-day telephone communications including directing calls, recording and relaying accurate messages
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
• Monitors and orders office supplies as needed. Manages Purchasing Card for all purchases.
• Orders business cards stationary and keys as needed
• Provides administrative support to the marketing team, as needed, including department group requests for building services, telephones service, hardware and software purchases, couriers and UPS shipping
• Occasionally creates and formats executive PowerPoint presentations, often with multimedia embedded
Qualifications:
• A Bachelor's degree is preferred
• Must have at least 5 years administrative experience and previous experience supporting an SVP or above. Previous entertainment experience is preferred
• Expert level written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Exceptional skills utilizing Outlook, Word, Excel, PowerPoint required
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response
