Full Time Job
Coordinator to work with the SVP of Global Communications and Partnerships, as well as provide support to the global communications department. This individual must be able to handle multiple tasks; thrive in deadline-driven situations; and have strong organizational, interpersonal and verbal communication skills.
Scope of responsibilities will include, but are not limited to: assisting global communications department on title campaigns and events; corresponding with staff in multiple international territories; managing and scheduling meetings across multiple time zones; booking talent, press & staff travel; creation of press lists, travel itineraries & agendas; talent activity & coverage reports; research projects; coordination & distribution of materials; preparing expense reports; departmental shipping and receiving; processing invoices; ordering supplies; answering calls; assisting the team with internal and external projects; vendor management; and maintenance of databases & other resources. Other responsibilities include logistics and full coordination of set visits, talent tours, special events and press junkets. Perform all other ancillary tasks as assigned.
Responsibilities
• Provide daily support to SVP Global Communications & Partnerships (phone and calendar coverage, travel and expenses, general admin support, etc.)
• Assists title managers on publicity campaigns from start to finish including media relations, agency management, reporting, etc.
• Supports on publicity event activations, conventions, festivals, etc. (CES, Sundance, Comic-con, etc.)
• Services distribution of event materials & tracks post event coverage
• Book travel and prepare schedules for talent/media/staff
• Support in-market international PR teams on asset needs; content usage; special requests
• Track market press clippings and material usages
• Draft internal campaign recaps
• Organize and circulate weekly internal emails – e.g. VAM postings, materials and mailings
• Maintain efficient financial and billing support
• Manages and distributes global title allocations chart, department calendar, global distribution lists, MarComm timelines and other department documents
• Serve as vendor point for freelancers, stringers and vendors
Qualifications
• High attention to detail is needed and ability to prioritize, problem solve and meet deadlines
• Candidate should exhibit good judgment and handling of confidential materials
• Must be able to work overtime as required and successfully see projects/tasks through to completion
• Excellent computer proficiencies are required
• Previous publicity experience is not necessary; however, communications course of study is preferred
