DESCRIPTION:
In this role, the Executive Assistant will provide daily executive and administrative support for the Regional SVP/General Manager as well as the Station's leadership team.
A Snapshot of Responsibilities:
• Oversee and manage daily office operations for the Station
• Provide daily support to the Regional SVP/General Manager
• Greet visitors, answer and direct phone calls, coordinate meetings, maintain calendars
• Assist with travel arrangements, expense reports, and timesheet administration for Regional SVP/General Manager
• Manage office supplies inventory and ordering
• Maintain FCC documents and data input
• Create and distribute op notes for live programming
• Manage bank deposits
• Handle vendor set up in our AP system, manage Purchase Order and Check Request systems.
• Assist Sales Managers, Insights Specialist and AEs with the creation of custom marketing materials
• Assemble lead lists and track lead generation effectiveness
• Work with Insights Specialist to assemble cold emails customized to the market
• Monitor category, market, and industry trends and competitor activity to identify emerging sponsorship opportunities
• Maintain confidentiality concerning all information that is acquired in the position
• Lift and carry materials up to 25 lbs. in weight on a regular basis.
• May be required to work varied hours, overtime and/or weekends to complete tasks
• Perform additional duties as assigned.
What you bring:
• High school diploma or equivalent required. College degree preferred.
• Experience working in an administrative role in an office setting supporting management/executive staff. Experience in the broadcast/media industry a plus.
• Ability to plan and organize work, take initiative, and determine work priorities.
• Excellent communication and interpersonal skills with high professionalism.
• Good judgment.
• Ability to multitask
• Proficiency in software applications (Excel, Outlook, Power Point, Word) and online communication tools.
• Able to organize and establish administrative procedures independently, draft correspondence and reports, and work under pressure
• Ability to handle confidential information and interact with high-level executives
