The Big Ten Network is currently seeking a Receptionist to join their team in Chicago. The incumbent will be the first impression of the Network to all internal/external customers. This position is responsible for greeting and signing in visitors to the offices, processing incoming and outgoing mail, as well as, procuring office supplies and answer main phone line. This position will also assist with office administration, employee relations initiatives and provide direction on building services, general office administration, and all office event planning.
This role will work Saturdays during College Football Season.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Answer incoming calls during working hours, as well as logging overnight calls from General Mailbox and return calls when appropriate or direct to appropriate department
• Responsible for handling all calls of the Executive Producer, and a backup to the Executive Assistant
• Responsible for daily visitor entries and ensuring that only registered guests are present in the Big Ten Network's suite – includes working with building office/security
• Provide outstanding customer service while greeting all visitors/guests and alert appropriate employees of their arrival
• Work with HR on executing staff & employee relations events
• Contribute to weekly office newsletter
• Provide input and execution of all ''Green'' initiatives
• Process incoming and outgoing mail – includes sorting and distrusting USPS mail, processing overnight packages and mail, maintaining postage meter and mailboxes in copy room, and research and track all shipping problems
• Responsible for stocking and receiving Staples shipments
• Schedule service repairs for copiers, faxes, coffee and water machines and other office repairs
• Book travel for all VIP guests, recruiting candidates, and minimally for talent; work with internal staff on travel related questions or issues
• Arrange catering for various office events and meetings, including football Saturdays
• Participate in the Life Safety Team and maintain all safety training logs, equipment, and initiatives
WHAT YOU WILL NEED
• Bachelor's Degree preferred
• Administrative experience is a must, Broadcast experience a plus
• Excellent verbal and interpersonal skills are required
• Must be able to deal with guests/customers in a professional manner
• Ability to manage multiple projects
• An understanding of the broadcast industry and how it functions is preferred
• Knowledge of Microsoft Office applications, including Excel, Word and Outlook
• Great organizational skills and attention to detail are required
• The ability to multitask and work effectively under changing priorities and daily time constraints is required
• Must be able to answer multiple phone lines
