A Business and Legal Affairs (''BLA'') Assistant is needed to provide both administrative and legal support to the Business and Legal Affairs Department. The right candidate will be responsible for overseeing the administration of all license agreements and additional paperwork and become a super-user of the new company rights management system (Tuscany). The candidate should also be point person for certain queries directed to legal team and listed below. Tasks will include, but will not be limited to:
Contract Drafting/Negotiation
• Drafting of sales licence agreements relating to finished programmes when required;
• Drafting of termination and amending agreements, addendums and joinders.
Administrative Duties
• Liaising with the Sales teams and the Finance Departments as required to ensure that contracts are processed effectively;
• Providing comprehensive administrative support to the LBA Department, which includes issuing distribution and licensing agreements for signature/counter-signature, together with any other contracts as required;
• Manage and track signature process of agreements for the legal team mending, compiling and obtaining signature by authorised signatory;
• Hard copy document management: scanning of documents, recording on BA filing register, and archiving all contracts, together with any other contracts, as required, including dubbing agreements;
• Soft copy document management: maintaining electronic drafts and saving fully executed copies of agreements on both the Fox on Box system and Media Maestro;
• Archiving legal documents and arranging external storage;
• Returning agreements to clients via email and courier;
• Any other administrative tasks required to support the wider BLA team, including, but not limited to, organising and booking in meetings, preparing agendas.
MM
• Becoming an expert in the use of the new rights management system Tuscany;
• Responsible for uploading the fully signed content acquisition/distribution contracts to the rights database system;
• Monitoring the status of external and internal content acquisition/distribution agreements and updating the status on Media Maestro accordingly;
• Updating Media Maestro with signature date for all signed agreements;
• Comparing commercial terms in finalised agreements to the commercial terms entered into the rights management system (Media Maestro), raising any discrepancies with the Deal and Rights Management Team.
Other Responsibilities
• Assisting with holdback release consent requests and any other undertakings, where necessary;
• Liaising with the Finance Department regarding the status of contracts where payments are owed/due;
• Liaising with insurers to arrange for E&O cover, where necessary;
• Raising content protection issues with the Fox anti-piracy team;
• Acting as a first point of contact for basic rights queries and raising with the relevant content owner, whilst keeping sales person and licensee aware of progress;
• Escalating regular queries appropriately, if necessary;
• Handling the language access letters.
Requirements of the role:
• Eligible to work in the UK;
• Experience of rights database and inputting of data is preferable;
• Previous experience working in a TV distribution company is helpful;
• Good time management with ability to cope with a high volume of work, often working to strict deadlines;
• Good interpersonal skills with ability to work well as part of a team;
• Self-motivated with good drafting skills and excellent attention to detail;
• Would consider a law graduate eager to get in-house experience.
