OVERVIEW
To provide comprehensive administrative support to the VP, Business Affairs & Legal, VP, Finance, Director, DRM, and senior Sales Executives (3).
KEY DUTIES & RESPONSIBILITIES
• Arrange internal meetings – send out dates, organise agendas, and manage co-ordination of diaries to ensure all necessary attendees are available.
• Organise out of office meetings, including organising suitable accommodation, travel and facilities in a cost effective and timely manner.
• Co-ordinate any travel domestically and internationally – booking flights, arranging visas, transfer transport and accommodation.
• Manage expenses claims to ensure accuracy and compliance with policy.
• Assist with preparation of documentation for key meetings.
• Assist (and attend where required) with the organisation of key events and trade shows, manage all logistics and admin in relation thereto, attending such events and taking minutes of any meetings where necessary.
• Manage any ad hoc projects to support the team.
• And other duties as required
KNOWLEDGE, SKILLS & PERSONAL CHARACTERISTICS
Essential
• Previous experience of working in an Assistant role
• Advanced level of IT skills, including proficiency in Microsoft Office suite (Word and PowerPoint)
• Detail oriented with excellent organizational skills
• Excellent written and oral communication skills
• Ability to prioritize and execute against multiple deadlines
• Calm and able to deliver a consistent level of work, even during times of high pressure
Strongly Desirable
• Working knowledge of broadcast/media and distribution preferable
