We have a great opportunity for an experienced and dynamic Executive Assistant. In this exciting role, you will be responsible for all executive and administrative support for a Senior Vice President and three Vice Presidents on the Entertainment Ad Sales team.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Manage variety of projects for the Senior Vice President
• Answer phones, prepare expense reports, coordinate travel
• Organize lists and invites for client events
• Prepare and update Power Point Presentations, Word documents and Excel charts
• Respond to Executive's inquiries as appropriate
• Work on projects as needed by SVP
• Anticipate and prepare executive's daily schedule of meetings and priorities
• Maintain confidentially at all times
• Provide administrative support for three Department Managers and their teams
• Schedule internal and external sales and marketing meetings and conference calls
• Coordinate logistics for meetings, events, team offsites, client meetings and interviews
• Responsible for onboarding new hires to ensure all tech and supply needs are available day one
• Maintain office supplies by checking inventory, anticipating needed supplies, placing orders for all office supplies
• Liaison to building and IT to manage building and tech issues
• Other duties as assigned
WHAT YOU WILL NEED
• At least 1 year of Executive Assistant or internship experience supporting senior executives
• Strong verbal and written communication skills
• Strong proficiency of Microsoft Office applications, particularly Excel, Power Point and Outlook
• Excellent organizational and interpersonal skills with ability to interface with executives, assistants and other internal and external constituents
• Ability to multitask and respond quickly to changing priorities
• Proactive problem solver who thrives in a fast-paced environment
• Professional phone and email manner
• College grad preferred
