Chief of Staff to CEO of Foment Productions
Role: Chief of Staff provides coordination and oversight of the day-to-day, overlapping professional and personal operations of the CEO.
Responsibilities:
Provide/delegate/oversee and coordinate complete administrative support, including professional business support, to CEO across her overlapping company needs and personal life
Manage various consultants and team members as main point of contact for CEO, coordinating scheduling, communications, strategizing around timing and completion of various deliverables, and prioritizing appropriately across projects
Receive, screen and follow-up on all communications (phone, email, mail, social media platforms (in coordination with the team SM manager) and generate outgoing correspondence as appropriate, all with an eye toward maximum organization and efficiency
Prepare for, coordinate and attend virtual and in-person meetings, take notes, organize and identify any action items needed, run point on CEO's behalf as appropriate
Delegate and/or assist CEO as needed with research, note taking and documentation for her creative writing/performance/directing and other content creation needs
Multifaceted, detailed calendar management with frequent updating and coordinating with various members of the larger team
Knowledgeable and efficient organization of extensive travel arrangements including air, hotel and ground transportation, understanding high-end travel, mileage programs, concierge services, etc., with flexibility around frequent and last-minute changes
Travel with CEO as needed, and/or delegate coordination of her travels to and from events in various cities/locations with assistants on the ground, overseeing day to day runnings are smooth
Assist with all technology, from device management (Apple products) to home office equipment. Familiarity with GSuite, Zoom, and all other customary office platforms/ technologies is expected, along with efficient troubleshooting
Process and safeguard documents of legal and confidential nature
Generate and maintain in-house documents and materials in connection with the team (for example, assistance coordinating materials for marketing, social media, website)
Assist with maintenance and preparation of financial information as directed, coordinate/oversee record keeping
Manage special projects and coordinate special events with consultants (examples range from red carpet events to live performances, to office organization) as needed
Perform/delegate/coordinate other related duties as requested
Qualifications:
Minimum 3-5 years' experience providing executive level support
Flexibility to work evenings and weekends as needed
Discretion with confidential and sensitive information
Ability to multitask, work on numerous projects simultaneously and use sound judgment in prioritizing tasks to meet deadlines
Excellent verbal and written communication skills
Highly organized with meticulous attention to detail
Ability to interface with all levels of the organization and maintain confidentiality
Ability to anticipate needs, be proactive and take initiative, with little direction
