The Position:
The Creative Team is seeking a Project Manager to support our team in keeping all projects on track, organized and moving smoothly from project request to asset delivery. Our team supports the creative needs for First Look Media and all of its brands, with a majority of that support allocated to Topic, a new streaming service with curated content from around the world. These projects range from key art development, trailers, social media assets, presentation decks, to printed event materials, swag, live shoots and more. On top of individual project management, this role requires the delivery management of all our static (key art, stills) and video (trailers, clips) assets for our streaming service app, and streaming partners.
The ideal candidate will have experience in direct to consumer entertainment (TV, film, streaming), social media and video content creation. They should be familiar with our brands, and all of the platforms where our presence and content live, including Facebook, Instagram, YouTube, Amazon, Apple TV, Roku, and Snapchat. They should also have a passion for supporting independent voices, storytelling and journalism, and an appreciation for meaningful content.
We are looking for someone that is hard-working, highly motivated, organized and efficient, energetic, kind, positive, professional, collaborative, supportive, a great communicator, and with an overall great work ethic. We currently have a solid foundation, and we are looking to build on that.
Responsibilities:
Lead overall project management efforts (Trello and AirTable).
Lead streaming service asset ingest management and delivery to the Operations Team.
Develop and maintain relationships with the other teams we work with, and full-fill creative needs for; be an ambassador for the Creative Team.
Support and mentor the Assistant Project Manager.
Collaborate, divide and conquer project management tasks with the Assistant Project Manager.
Own individual projects from conception to completion.
Develop realistic timelines, especially when it involves approvals from multiple departments.
Schedule and attend meetings, and take notes, including for project kick-offs as needed.
Create project cards on Trello and project folders on our file server.
Check-in with designers, video editors, art director, head of creative, marketing and editorial teams to collect info about a project and / or the project status, in an effort to keep projects organized and moving smoothly.
Be the go-to person for a project you're managing for any info or assets needed.
Route projects via Dropbox and Frame.io to stakeholders.
Delivery of final files.
Keep track of and maintain correspondence with vendors and freelancers.
Updating the team calendar.
Expensing receipts and invoices.
Working with the VP of Design & Creative to manage and maintain the Creative team budget.
Working with the VP of Design & Creative to commission creative talent (freelance and agency).
Managing process and payments for outside vendors.
Coordinate and ship packages to team, vendors and partners (hard drives, swag, printed materials, etc).
Own company holiday gift tracking and shipping (domestic & international).
Sourcing and coordinating branded swag with vendors.
Sourcing and ordering supplies.
Attend on-site scouting for events that need creative assets.
Planning offsite team-building events.
Background & Qualifications:
5+ years of related experience (project management, executive assistant, production assistant).
Experience sourcing and working with outside vendors for printed materials and branded swag items; everything from postcards, custom packaging, signage, to smartphone cases, silk screened tote bags and t-shirts, etc.
Experience working with production vendors for video and digital asset creation for OTT platforms
Familiar using a Mac, and Finder to find, organize, label and archive project files.
Familiar using Trello, AirTable (or similar) and Calendar to keep track of projects and timelines.
Familiar using Slack and Apple Mail for communication.
Familiar with expensing receipts and invoices (Expensify, Concur, or similar).
Familiar with scheduling meetings, editing and sharing docs (Google Calendar, Docs, Sheets).
Familiar using Dropbox and WeTransfer to deliver project files.
Familiar with ordering supplies as needed.
Familiar with shipping and receiving packages (UPS, FedEx, com).
Ability to take feedback as a process and a means to continually improve, grow and pivot.
Ability to work well under tight deadlines and to prioritize the needs of multiple assignments.
Ability to roll-up your sleeves and get things done in a startup environment.
Ability to present ideas clearly and thoughtfully.
Ability to share feedback in a constructive way.
Ability to help problem solve and come up with solutions.
Knowledge of file formats a plus (PSD, EPS, JPG, PNG, GIF, MP4, etc).
Knowledge of industry software a plus (Photoshop, Illustrator, InDesign, Premiere, AfterEffects).
