The Position:
The Philanthropy Operations Manager will be joining First Look Media Works at an exciting juncture as it introduces a major gifts program into a new philanthropy office that currently features a profoundly successful three-year-old membership program.
This is a newly created role and will be the first position in the philanthropy department. The Philanthropy Operations Manager (POM) will be responsible for managing and optimizing development processes and systems in support of increasing major gift revenue. The POM will thrive on building and maintaining fundraising systems and tools, including but not limited to prospect research, management of fundraising collateral, budget oversight, and responsibility for philanthropy-related events. First Look Media Works seeks a nonprofit professional who will embrace the opportunity to play several roles in establishing the operating environment and systems necessary for a major gifts program as part of a small, nimble team.
We seek a creative and flexible nonprofit professional who has a passion for operations, processes, and continuous improvement. This role will focus on building infrastructure and capacity for the individual and institutional major gifts program, with key priorities around prospect identification and research; developing and managing the establishment of major gifts fundraising collateral; introducing systems best practices for a major gifts program; and providing operating support to the team. The ideal candidate will be team-service oriented, self-directed, and comfortable in a setting where you will help to expand an emerging philanthropy program within an established nonprofit organization.
Responsibilities:
Develop and implement systems for major donor prospecting, research, and pipeline development.
Help project manage key initiatives driven by CPO
Provide individual and institutional major gift prospect research and screenings.
Support efforts for prospect/donor portfolio management, periodic prospect review meetings, and ensure accurate moves management.
Serve as an expert of the CRM system-Salesforce (SF)-within the philanthropy office, assist the team in its use, and ensure that all appropriate staff utilize SF fully.
Ensure the quality of data entered into SF. Oversee and manage SF information and records for the philanthropy office, including prospect and donor biographical information; pledge and gift data entry; oversight of gift processing and recordkeeping; and gift receipting and acknowledgment.
Develop and manage a library of fundraising collateral-cases for support of the three individual programs of First Look Media Works and of FLMW as a whole, as well as individual case studies based on accomplishments within each vertical
Update and maintain content and data for all fundraising materials.
Develop and prepare fundraising reports.
Track foundation proposals, reports, and supplementary materials to ensure that necessary internal and external deadlines are met for institutional funding.
Oversee and execute gifts processing and stewardship systems.
Manage fundraising pages and presentations for website and print materials.
Track the philanthropy office budget.
Support setting up individual prospect meetings, as needed
Manage the workflow around fundraising events including, but not limited to, coordination of sponsorships; guest selection; invitations; program collateral; vendor management; management of site logistics; data management; and follow-up.
Background & Qualifications:
Minimum of 5 years of experience in nonprofit fundraising
Desire to wear several hats as the philanthropy program takes shape, from generating important prospect research to setting up operational and administrative systems that will provide turnkey readiness for the future Chief Philanthropy Officer
Highly organized and able to track and manage multiple projects simultaneously, including ability to prioritize work projects and meet deadlines
Eagerness to work collaboratively in a fast-paced, team-oriented, and goal-driven environment with the utmost level of integrity
Demonstrated experience in creating and monitoring a donor pipeline
Competency with Salesforce CRM database operations or demonstrated ability to adapt from an equivalent CRM platform
Demonstrated critical thinking skills to analyze data and understand its relationship to the overall fundraising objectives
Proficiency with G Suite, particularly Sheets
Outstanding interpersonal skills, with the ability to develop productive working relationships across a wide variety of individuals and groups, virtually and in person, including award-winning leaders, writers, and artists throughout the organization
Strong skills in oral and written communications
Respect for the importance and integrity of the mission of the organization
Bachelor's degree strongly preferred
