The Position:
First Look Media and Topic Studios is seeking an Executive Assistant who will support the SVP, Original Series, Topic Studios. They will be based in Topic Studio's Los Angeles office, and will be responsible for ensuring the smooth operations of the day-to-day activities for the SVP. They will handle all administrative needs and tasks assigned by the SVP. They will anticipate the needs of the SVP and take the initiative to solve problems thoughtfully and independently.
The ideal candidate is a dynamic, highly organized, detail-orientated problem solver who thrives working with a tight-knit team within a larger organization. They are self-motivated, professional, even-tempered and capable of managing their workload and prioritizing tasks in a fast-paced start-up environment.
Responsibilities:
Schedule all internal and external meetings and calls for SVP.
Manage SVP's calendar, including all standing meetings for Topic teams with the SVP.
Coordinate meetings and calls between Topic teams in Los Angeles and New York.
Submit monthly expense reports on behalf of SVP.
Book travel and accommodations for SVP.
Assist with managing workflow for SVP. With the assistance of SVP and SVP's direct reports, employee should prioritize meetings and creative workflow for SVP.
Manage follow-up for Topic Studios meetings. This includes taking notes in all department meetings and making sure executives are aware of and complete necessary next steps.
Coordinate follow-up for SVP's meetings with external parties (buyers, production companies, agents, managers, and talent).
Support Coordinator, Topic Studios, NY to manage and update databases and grids for department reference.
Work with Head of Production, Topic Studios, NY to plan and track department wide travel and event attendance.
Member of the creative team - opportunities for creative input.
Background + Qualifications:
Minimum 2 - 3 years of experience or college graduate with 1-2 years administrative experience, preferably in the entertainment industry.
Self-starter with excellent organization skills; able to anticipate needs and be proactive in solving problems.
Ability to provide professional and confidential administrative support.
Should have strong communication and interpersonal skills; comfortable and efficient in team environment.
Exceptional time-management and organizational skills; must be able to prioritize and manage multiple assignments with tight deadlines (both short- and long-term) within a fast-paced, dynamic environment.
Highly organized, with strong multi-tasking skills, strong attention to detail.
Must be able to work efficiently with minimum supervision and have the ability to handle several priorities under tight deadlines.
Must be proficient in computer and current technology-based office support applications.
Must have strong writing and analytical skills. Provide coverage on articles, books, podcasts, nonfiction IP, film & TV scripts, and other content for sourcing at the direction of the SVP.
Support SVP and SVP's direct reports in creative services - making decks, sizzle reels, support material - in conjunction with the Topic team in New York.
