Overview: The Production Assistant is an important operational and support function for the team at Fenty Corp. The Production Assistant plays a key role in the success of our events, productions and photo shoots by helping out with a variety of different duties and tasks. This highly organized, motivated, detail-oriented and resourceful individual will be responsible for supporting team members in all elements of administration for the corporate team. This person will keep the internal team grounded and organized and will work regularly with management, brand partners, vendors, production companies and relevant PR and marketing agencies.
Essential Duties and Responsibilities: Fenty Corp supports our brand partnerships, in addition to our CEO's artistic and philanthropic endeavors. Taking guidance and direction from internal team members, we expect the production assistant to help our team on events and campaign photo/video production shoots and all matters regarding our brand projects -- inclusive of supporting production elements, coordinating and prepping meetings, researching and compiling project and travel budgets, coordinating travel logistics for Fenty Corp and the extended team. In addition, this role will help support any production and administrative matters pertaining to editorial shoots. This individual will deal regularly with our production partners such as glam talent and agencies, security and outside production companies. General office administration will be at the core of this Production Assistant's role and this individual will be required to support the team members on all matters of office administration.
The essential functions include, but are not limited to the following:
• Overall support including scheduling calls, taking call notes, coordinating meetings, submitting invoices and expenses, maintaining calendars, coordinating shipments, organizing travel, setting up appointments, organizing digital files, arranging for storage and archive needs, errands and other duties and projects as assigned
• Act as an administrative point of contact between team members, partners, agencies, vendors and production
• Attend regular meetings and calls with the team and take notes, write notes, and transcribe meetings
• Coordinate any and all office needs including shipping, printing, storage, tech support, supplies
• Be on set for productions to support any and all production needs such as distributing call sheets, coordinating glam needs, travel, errands
• Support budgetary tasks including research, compilation of budgets and support with invoicing
• Conduct research to support project development
• Seek out, compile and print relevant research for team
• Maintain communication with direct team members and other partner teams to stay up-to-date on what is happening on all projects and provide support
• Log content and materials as needed for team's physical and digital archives
• Assist with errands and other ad-hoc assignments as needed
• Stay current on pop culture, entertainment news stories
• Other duties as assigned
Minimum Qualifications (Knowledge, Skills and Abilities)
• Production experience with event agency or production company required
• 1-2 years administrative experience in an office or corporate setting
• Understanding of the entertainment and production industries
• Master at the Microsoft Office Suite - Excel, Word, Outlook, PowerPoint
• Must work effectively and manage up to Senior executives and staff; Follow through and follow up skills are key
• Impeccable organization skills
• Ability to multi-task and work on several projects at once
• Deadline and task-oriented while being committed to producing high-quality work
• Effective negotiation and networking skills
• Strong communication skills - verbal, written and presentation
• Self-starter who thrives in a fast-paced environment
• Ability to solve problems independently, yet have self-awareness to ask for assistance if needed
• A positive and open team player
Due to ''shelter in place'' orders, this role is currently remote and able to work from home at this time. Interviewing and onboarding will be remote and conducted digitally (via Zoom) and via phone.
