Executive Assistant/Production Coordinator

This position supports Director(s)/Producer(s) in a production office that also operates as a shared work space for primarily creatives, with additional high-level administrative support. The primary focus of the job is heavy administration and scheduling in a vibrant, creative, talent friendly environment. You are the head, ''Keeper of the Culture''.  This means that you bring your passion, innovation, talent and willingness to learn. The ideal candidate loves to solve problems, creates a friendly and inclusive atmosphere, is self-motivated and able to anticipate and manage shifting priorities with ease. A passion for diverse content and animation and treatment creation are highly desired skills!
 
Responsibilities:
Manage high volume (at times) scheduling for multiple projects.
Manage and schedule out of office appointments such as lunch meetings, film shoots, personal appointments & travel.
Draft, review, and send communications on behalf of executive.
Organize and prepare for meetings, including gathering documents and attending to logistics of meetings (virtual and in person)
Answer and respond to emails, phone calls, communicate messages and information to the executive in a timely manner.
Preparing decks for internal and external creative presentations, including editing clips and mocking up creative materials
Manage internal bookkeeping and status of sub-rentals
Keep track of bills and payments due both in house and for outside vendors
Accounts payable
Accounts receivable
Shared workspace management to include vetting potential renters, advertising rental space, vetting workspace partners, creating rental contracts.
Creating workflow, templates for office process'
Possessing enthusiasm and drive as a Fallout Entertainment ambassador compelling managers and labels to hire Fallout Entertainment for video and film projects.
Maintain and nurture a database of clients.
 
Qualifications:
Able to communicate with professionalism with all levels of executives, management, and staff. This includes: high-level entertainment industry talent, and agents, vendors, all with diverse sets of personalities and work styles
Self-motivated, highly organized and excellent follow through skills
Ability to prioritize and manage multiple tasks with a high level of detail and accuracy
Must be positive & creative minded, innovative, solutions-oriented and efficient
Demonstrated ability to connect and partner well with others and build strong, effective relationships.
Proficiency with Mac and Windows applications to include: Microsoft Office Suite, Apple Keynote, Powerpoint and Final Draft
1-2 years of experience as an administrative or personal assistant, entertainment, network or production company experience preferred.
 
Preferred Education:
Bachelor's degree with emphasis in media, film (related) or theatre, or equivalent work experience
 
Compensation:
Pay between $17.50/hour and $25/hour based on the candidate's experience. Bonus Pay based on performance are possible.
