Position Overview:
The Manager, Human Resources will partner alongside the Head of Human Resources & Operations and the VP of Human Resources. This position will manage recruiting, onboarding/termination, benefits, cultural initiatives and day-to-day HR responsibilities, as well as any other assigned duties.
HR Responsibilities:
Compliance & Policies
• Update Employee Handbook, as needed (to ensure compliance with local, state and federal laws)
• Perform HR research and stay current with compliance updates
• Partner with Payroll to ensure ACA compliance (1094c & 1095c forms) and time & attendance compliance (meal periods & hours)
• Schedule and ensure timely supervisor anti-harassment training
• I-9 file maintenance and E-Verify Management
• Personnel file management (audit personnel files, as needed)
• Create and update policies & procedures, including time-off, meal & rest, hiring, etc.
o Partner and communicate with outside counsel, as needed
Hiring & Terminations
• Manage temporary employee requests and manage relationships with external recruiting agencies
• Manage company LinkedIn and recruit for open positions
o Create position requisition forms and obtain necessary signatures
o Create job descriptions and post on all applicable job boards
o Communicate and partner with outside recruiters, as needed
o Source resumes
o Schedule interviews and interview candidates
o Process background checks
o Check references
o Send turndown emails
• Manage Onboarding Process:
o Hire employees in Payroll/HRIS portal, Paycom
o Create new hire packets
o Send New Hire Notices, First Day Agendas and New Hire Welcome Emails
o Perform HR Orientations
o Partner with Operations, IT and Reception to ensure a smooth onboarding process
• Manage Termination Process:
o Schedule Exit Interviews
o Create termination packets
o Send Termination Notices
o Terminate benefits and employees in Paycom portal
o Perform exit interviews, as needed
Benefits
• Obtain rates for new hires with benefits broker
• Assist new hires in benefits enrollment process
• Manage relationship with external benefits brokers and HRIS (Paycom) representative
o Alongside benefits brokers, manage relationship with carriers, including Blue Shield of California, Guardian, VSP/The Standard, Sterling and MassMutual/Empower
• Manage Open Enrollment Process
o Work with external benefits brokers on plan changes during renewal and pull census information
o Update and rollover benefits plans, rates and documents in HRIS
o Draft employee communications and field inquires, as needed
o Ensure that all employees making changes complete the proper documentation
• Plan yearly flu shot clinic
• Manage yearly benefits discrimination testing (FSA, 401k) and audits
• Manage yearly 5500 filings (benefits and 401k)
• Manage 401k enrollment and partnership with 401k advisor, TPA and carrier
o Requires knowledge of 401k employer match, including Basic Safe Harbor Match
• Maintain insurance benefits and reconcile monthly benefit invoices
• Alongside VP, HR, develop and maintain HRIS, Paycom (especially ''Benefits Forms and Links'' section)
o Manage carrier connections and communicate with EDI specialists
• Manage COBRA administration alongside benefits broker and carrier
• Perform LOA benefits administration, in accordance with company guidelines
• Field day-to-day benefits inquiries (pull ID cards, assist with general questions)
• Send benefits communication to ensure compliance (Summary Plan Descriptions, Medicare Part-D Notices, Summary Annual Reports)
• Respond to EDD unemployment requests and EDD benefits audits
• Other benefits duties, as assigned
• Administration of company stock plan
o Partner with Accounting and VP, Corporate Counsel
Department Support / Company Culture
• Coordinate implementation of annual performance reviews alongside HR team
• Assist with company DEI initiatives
• Manage employee DEI training
• Create and oversee company culture events: monthly/quarterly and Holiday Party
• Alongside other team members, create monthly company newsletter
• Manage summer internship program (interview, onboard, rotation schedules, off-board)
• Field and respond to employee requests and redirect to Head of HR/Ops or VP of HR, if needed
Education and Experience:
• Bachelor's Degree in Human Resources or related field preferred
• 4+ years of HR related experience
• Respecting confidentiality and security protocols
• Knowledge of MS Word, Excel and PowerPoint
• Comfort in partnering and coordinating with C-level executives regularly
• Must have strong written and verbal communication skills
• Strong sense of integrity, confidentiality, diplomacy, and professionalism required
• Friendly and personable with the ability to deal with employees on all levels
• Ability to work with limited supervision and to adjust easily to changing priorities
