Job Title: Executive Assistant to SVP & VP
Entravision Denver is seeking a bilingual Executive Assistant. The ideal candidate will be mature and experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be bilingual, exceedingly motivated, enthusiastic, well organized, flexible, able to handle high volumes of work and demands and enjoy the administrative challenges of supporting sales and the Vice President of Sales.
The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
• Work closely with Executive Vice President to coordinate and launch projects as assigned
• Responsible for heavy calendar management, requiring interaction with both internal and external
Executives and assistants, as well as clients and affiliates, to coordinate a variety of complex executive
meetings with constant awareness of daily schedule
• Booking travel arrangements including airfare, hotel and car rentals
• Accurately complete and track monthly expense reports
• Attend Department Head, Sales Management, and Regional Conference Call Meetings & prepare agenda minutes for distribution & review.
• Coordinate, order and pick up of executive lunches/breakfast for meetings as needed
• Provide reports through Wide Orbit Traffic
• Help coordinate station sales events (ie: Health Fair, Political debates etc.)
• Create various spreadsheets and documents in Google Docs including Pitch Lists, Health Fair logistics sheets, Update Sponsorship Detail spreadsheets for various events
• Manage Sport Tournaments Inventory and report ratings for each.
• Coordinate fulfillment with Radio & TV & Community Partners for sponsored tables & events
• Oversee ticket inventory and distribution of all incoming event tickets for clients, promotions and staff
• Oversees and manages receptionist ensuring front desk is running smoothly and efficiently, approves
time off requests, and coordinates temp when receptionist is out of office
• Oversee and manage Multi-Media Sales Assistants & Receptionist
• Coordination and planning of employee luncheons (including ordering awards and creating certificates)
• Assist with annually budgets by inputting data and updating templates
• Create templates and organizational tools to help create efficiency
• Give direct support to General Manager including prioritizing and managing multiple projects simultaneously, and follow through on issues in a timely manner as well as special projects and other related duties as assigned

• Knowledge in Wide Orbit Traffic, Wide Orbit Media Sales
• Knowledge in Google Docs
